We are looking for a dynamic and professional Full Time Bilingual Legal Receptionist to join our fast-paced workers’ compensation and personal injury firm. As the first point of contact and the face of our firm, you will manage all reception duties with poise, tact, and professionalism. Your role will be pivotal in ensuring the smooth running of our office, contributing to the delivery of exceptional service to our clients. This is a full-time, permanent position ideal for someone with a background in legal reception or administration, who thrives in a challenging, rewarding environment.
Responsibilities
As a Bilingual Legal Receptionist, your primary responsibilities will include:
1. Acting as the face of the firm, greeting clients and visitors with a warm, welcoming demeanor.
2. Answering, screening, and directing incoming calls in a professional and courteous manner.
3. Assisting with administrative tasks such as data entry, file management, and document preparation.
4. Coordinating and scheduling appointments, meetings, and conferences.
5. Handling sensitive information in a confidential manner.
6. Providing excellent customer service, addressing client inquiries and issues promptly and effectively.
7. Maintaining the reception area, ensuring it is always clean, organized, and inviting.
9. Supporting the legal team with periodic administrative tasks as required.
10. Spanish translation for new client intakes, discovery, mediations, general client communications and settlement documents.
Qualifications
To be considered for this role, you must have:
1. Proficiency in speaking, reading and writing Spanish.
2. A minimum of 2 years of experience in a legal receptionist or similar role within a legal setting.
3. Proficiency in administrative tasks such as scheduling, data entry, and customer service.
4. Excellent communication skills, both written and verbal, with the ability to interact with clients and staff at all levels.
5. Strong organizational skills with a keen eye for detail.
6. The ability to handle multiple tasks simultaneously and prioritize workload effectively.
7. A high level of professionalism, with the ability to maintain confidentiality at all times.
8. A proactive approach, with the ability to take initiative and work independently when required.
9. A positive attitude and friendly demeanor, with a commitment to providing excellent customer service.
