Part-Time Campus Life Assistant, North Las Vegas Campus
Job Description
*This position will be for a temporary 6-month appointment*
Job Element 1: Administrative Support
  • Responsible for administrative and record keeping transactions in support of accurate business operations of Campus Life (CL) and various Basic Needs initiatives administered by the department.
  • Maintain and monitor accounts administered by the CL Coordinator in accordance to established policies and procedures.
  • Demonstrate computer literacy in various applications, including but not limited to: Microsoft Office (Outlook, work, Excel, PowerPoint, Access, and Publisher), Adobe Acrobat, Workday, Doodle, and Canva.)
  • Produce brochures, flyers and other CL information materials, etc.
  • Assist with program execution and event publicity.
  • Help coordinate meetings, special events, communications, and tasks on behalf of the CL Coordinator.
  • Ensure smooth operations of events including parking, hosting, and amenities.
  • Maintain and communicate CL's weekly calendar of events.
  • Acts as liaison with internal and external entities to resolve administrative questions and issues.
  • Handle confidential interactions with discretion and professionalism.
  • Participate in and support advisory committees as needed.
Job Element #2: Office Management and Customer Service
  • Assist in organizing and prioritizing daily office functions for CL, including duties of Basic Needs Initiatives.
  • Maintain inventory of CL resources, oversees maintenance of CL office equipment and supply inventory.
  • Provides daily scheduling and administrative support to Campus Student Union open spaces and specialty rooms (study, prayer, lactation).
  • Answering telephones, assisting and resolving problems and inquiries of visitors, review and control incoming and outgoing correspondence, and follow-up on operational obligations are assumed duties while in shared spaces, regardless of AA's physical desk location.
Job Element # 3: Tracking & Reporting Data
  • Assist Coordinator in compiling, organizing, and consolidating programmatic data and Student Learning Outcomes (SLOs) information to facilitate analysis.
  • Help Coordinator generate Institutional/System (NSHE) reports and prepare for audits.
  • Ensure the execution of the tracking metric for Basic Needs Initiatives (ex: confirmation emails & appointment system).
  • Assist in collection, extraction, and distribution of data as related to the operations of CL and Basis Needs Initiatives in various data information systems.
  • Manages mass communications and event management.
Job Element # 4: Training and Supervision of Student Workers
  • Train, supervise, and track work schedules of hourly employees in accordance with departmental and institutional policies and procedures.
  • Maintain and develop training processes and manuals.
  • Provide guidance and leadership to student workers to ensure compliance with operational standards.
  • Manage employee contracts and requisitions as needed.
Job Element # 5: Miscellaneous Responsibilities
  • Travel among main campuses and learning centers for meetings, conferences, and workshops.
  • Travel to area merchants to pick up supplies, goods, and services.
  • Travel offsite to administer and assist with CL programs and events, including graduations, trainings, workshops, year-end departmental, and student banquets and promotional events.
  • Maintain social media account in absence of CL, or student worker. Other duties as assigned.
Minimum Qualifications
  • Graduation from high school or equivalent education
  • Previous customer service experience and working with diverse groups.
