Summary of Position

The Front Office Team Lead is directly accountable to the Customer Service Manager and is responsible for operational responsibilities associated with check in and check out associates. Works in conjunction with the Front Office providing excellent customer service and performing assignments in accordance with office policies and procedures as related to checking in and checking out patients as well as scheduling patient appointments and obtaining demographic and insurance information

  • Greet all callers in a professional manner
  • Communicate department staffing and operational issues with Front Desk Supervisor and Manger
  • Responsible for training of all direct reporting associates on their responsibilities
  • Responsible for performing the QA process on a daily basis
  • Consistently motivates associates in a positive manner, develops teamwork in accepting and practicing the policies and procedures of the organization and leads by professional example
  • Maintains professional relationships with associates and colleagues in order to achieve a quality patient care experience, efficiency and harmony
  • Travel to satellite offices as needed to train and assist
  • Work closely with Clinic Supervisor to ensure “front desk” responsibilities assist with the clinics running smoothly
  • Work closely with the Financial Department to ensure accuracy with Daily Batches
  • Monitor and maintains the flow of the front desk registration process
  • Maintain a clean, neat and pleasant atmosphere in the waiting area
  • Answer and returns all calls in a timely manner associated with voicemail, interoffice communication and work log tasks
  • Guide patients and visitors to appropriate resources for further information
  • Explain the check in and checkout process to the patients
  • Work through and resolves patient issues immediately
  • Coordinate the need for work-ins with Clinic Director
  • Prepare and process the required consent forms and obtains the necessary signatures upon patient arrival
  • Inform patients of deductibles, out of pocket expenses, co-payments, prior balances and percentage payables thus facilitating cash collections for identified services; communicates with Insurance Department, Billing Department and Financial Counselor as needed
  • Complete all necessary procedures in regards to scheduling, rescheduling and/or canceling appointments accurately
  • Obtain and document in patient’s chart, any information relevant to the patient to ensure adequate care can be provided through all practice levels
  • Reconcile daily batch sheets, prepares batches, post payments as well as entering and verifying charges in a timely manner with minimal errors
  • Prepare for the follow day of clinical visits accordingly
  • Performs other functionally related duties as assigned


Qualifications:

  • Graduation from High School or equivalent
  • Experience
  • Office setting and computer experience required
  • Medical background preferred
