As the OR Scheduling Manager, you will oversee the intricate scheduling operations within perioperative services. Your role is pivotal in ensuring the seamless coordination of surgical and procedural activities, optimizing room utilization, and maintaining accuracy in billing processes. Key Responsibilities:

  • Scheduling Oversight: Manage and supervise the procedural schedulers, ensuring accurate posting into assigned blocks and maintaining the scheduling system across all hospital sites.
  • Daily Coordination: Review and adjust daily schedules during the Daily Huddle, finalize schedules promptly, and manage room utilization to enhance efficiency.
  • Collaboration: Work closely with department leadership and anesthesia medical director to ensure smooth day-to-day operations and desired patient outcomes.
  • Billing Accuracy: Ensure all implants and supplies are correctly billed, reconcile billing discrepancies, and maintain accurate documentation.
  • System Management: Build and maintain EPIC block grids and scheduling templates, present monthly block utilization metrics, and extract EPIC utilization reports as needed.
  • Staff Management: Hire, supervise, and perform performance appraisals for procedural schedulers, manage timekeeping and payroll, and foster a cooperative work environment.

Requirements:

  • Experience: 3-5 years of surgical/procedural acute care and outpatient scheduling experience.
  • Education: Bachelor’s degree preferred, or an Associate Degree with at least ten years of relevant experience.
  • Technical Proficiency: Extensive knowledge of EPIC OpTime, Cupid, and Radiant scheduling systems, and understanding of procedural block schedules and block utilization.
  • Medical Knowledge: Strong understanding of complex medical terminology, including CPT coding and advanced disease processes.
  • Computer Skills: Proficiency with Excel, PowerPoint, and Power BI.
  • Supervisory Experience: Prior experience in a supervisory role is preferred
