Compensation: Approximately $19.41 - $22.50 per hour. All individual pay rates are calculated based on the candidate's experience and internal equity. 

Overview of Role:

Provide leadership and subject matter expertise in order to create a high functioning team. The OT Supervisor is the Site Process Champion for all designated office technician responsibilities. The OT Supervisor serves as a role model to all employees in terms of attitude, attendance, skills, hospitality and willingness to help others on the care team and in the clinic. As a working supervisor, the OT Supervisor understands all processes of the OT workflow and is routinely scheduled as an office technician with dedicated office hours.

ESSENTIAL DUTIES AND RESPONSIBILITIES: (See Competency Assessment for detailed job duties)

    • Uses performance appraisal process to coach, counsel and evaluate employee performance in a respectful and timely manner.
  • Continuous Learning:
    • Role models continuous learning and encourages others to do the same.
  • Monitor and ensure excellent hospitality to internal and external customers ensuring that cultural sensitivity is provided upon patient arrival and throughout all patient interactions.
  • Develop, implement, and maintain efficient and effective processes for patient interactions including patient check-in, insurance verification, and NextGen patient information.
  • Supports pod flow through timely and accurate management of provider schedules using advanced access concepts including appropriate usage of the patient outreach registries to fill patient appointments; Partners and coordinates with the Nurse Team Manager to arrange alternative visits.
  • Leads the Clinic in its implementation and usage of Clinica Patient Portal processes offering training and assistance to both patients and employees. Trains and develops employees to serve as Clinica Patient Portal Super users.

    • Supports patient satisfaction efforts as a Clinica key focus and demonstrates dedication to meeting/exceeding requirements of patients and other customers.
    • Uses information from customers to improve services or products and acts with customers in mind. 
    • Serves as a secondary point of patient escalation and resolution.

    • Models support of Clinica diversity initiatives by addressing the diverse needs of patients and employees.
    • Coaches staff in development of individual commitments to diversity goals.

    • Assists site leadership with development of annual operating and capital budgets.
    • In partnership with COD and CMD, develops strategies and plans to address any variances to budget.

  • In cooperation with Finance, ensure accurate collection and balancing of patient payments and ensure timely submission of cash deposits and corresponding reports.

POSITION QUALIFICATIONS:

Education and Experience:

  1. High School diploma or GED required.
  2. One year experience within a medical facility preferred.

Knowledge, Skills and Abilities:

  1. Bilingual Spanish REQURIED including ability to write and speak.
  2. Knowledge of electronic patient systems including billing systems preferred.
  3. Ability to work under pressure.
  4. Sensitivity to low income, ethnic minority community.
  5. Leadership abilities – takes an active role in problem solving, improving efficiencies and resolving conflict.
  6. Good communication skills – able to effectively communicate, both written and orally, with Clinica staff and patients.
  7. Great role model – is team focused, has excellent attendance, does not participate in gossip or negativity, and has a great attitude.
  8. Advanced computer, math and phone skills.
  9. Excellent hospitality and organizational skills.
