In this role you will:

• Ensure the completion and processing of applications for new and existing providers including mid-level providers. Initiates and coordinates the reappointment process for existing providers.

• Administer the credentialing and privileging process for all medical staff, in accordance with JCAHO/NCQA accreditation standards and other regulatory agency requirements, and the Hospital's policies and procedures.

• Act as the internal consultant and handles the selection, design, development, testing, training, coordination, monitoring, daily operations and support of the CCF SIS/SCS database in accordance with organizational strategies. Supervises database users to ensure competence and accuracy.

  • Manages, coordinates, and administers the activities of the Medical Staff Services Office.
  • Manages a comprehensive end user needs assessment and analysis as it applies to effectively using computerized systems to improve business processes.
  • Acts as a facilitator, leader and user advocate ensuring that systems capabilities are evaluated to meet end user requirements and organizational strategic planning objectives for Cleveland Clinic Florida.
  • Works closely with TIS liaison. Utilizes effective oral and written communication skills to facilitate discussions and decision making.
  • Plans and leads in the selection, design, development, testing, training, implementation, evaluation, maintenance and enhancement of the SIS information system.
  • Supervises database users to ensure competence and accuracy.
  • Serves as a liaison between user community CCF Information Services Department to ensure that systems are effectively utilized, maintained and enhanced post-initial implementation.
  • Trains new staff members in software and hardware usage.
  • Works with staff to increase skill set and function more effectively with medical staff/IT systems.
  • Ensures Community Staff recruitment, processing and retention of Community Staff physicians.
  • Develops policies, procedures and user documentation.
  • Manages the Medical Staff Services Assistant including hiring, evaluating and any needed disciplinary actions.
  • Organizes the functions of the department through the appropriate assignment of responsibilities, delegation of authority, and all overall direction of work-flow processes.
  • Monitors and evaluates the activities of the department employees and provides management coaching, guidance, and on-the-job training and retraining, as necessary, to ensure operational efficiency and adherence to policies and procedures.
  • Utilizes current trends and practices, making suggestions for changes of policies, procedures and standards.
  • Develops goals and objectives for the Medical Staff Services Department in accordance with the organization's mission.
  • Develops policies and procedures, forms and systems (in accordance with requirements outlined in the medical Staff Bylaws, and Rules and Regulations) for the appointment, reappointment, and privileging of members of the Medical Staff and Allied Health Professional Staff.
  • Reviews credentialing files, including reports from professional liability carries, licensing agencies, National Practitioner Data Bank, and the American Medical Association.
  • Report problems or concerns to Service Chiefs and Medical Staff and Allied Health Professional Staff. Obtains guidelines and standards for use in developing objective criteria for delineation of privileges for the Medical Staff.
  • Serves as a resource to the Medical Staff and Administration on issues relating to JCAHO and NCQA accreditation.
  • Communicates to Administration and Medical Staff Leadership issues or potential problems as identified.
  • Organizes hearing, investigative committees, and appellate reviews for the
  • Medical Staff in accordance with the Bylaws.
  • Assists with the departmental orientation of new Medical Staff Members.
  • Maintains physician and allied health professionals credentialing files in an
  • Organizational and consistent manner.
  • Conducts all managed care credentialing audits for Cleveland Clinic Florida Hospital.
  • Grants temporary and one-case privileges to physicians.
  • Updates the online privileging system with revised and current delineation of privilege forms for physicians.
  • Processes all observers coming to Cleveland Clinic Florida, and provides the
  • Medical Staff and Nursing Staff with regular updates on the Cleveland Clinic Intranet.
  • Develops an effective structure for the accomplishment of medical staff requirements related to JCAHO and NCQA standards including committees, informal meetings, newsletters, or quality improvements teams.
  • Ensures the preparation, organization, minutes, and follow-up for the Medical Executive Committee, Medicine and Surgery Peer Review Committees, and Bylaws Committee.
  • Extracts pertinent information from performance assessment and improvement studies, initiates, with the CCH Risk Manager, corrective action plans, and compiles information during reappointment to improve performance.
  • Develops innovative solutions to department problems.
  • Ensures appropriate professional review information is presented and considered during the peer review process and the Medical Staff Bylaws are adhered to by the Medical Staff Leadership and Committees.
  • Supervises scribes of all hospital committees reporting to the Medical Executive Committee.
  • Coordinates committee meetings and minutes in preparation for reporting to the Medical Executive Committee.
  • Prepares the Medical Executive Committee report for the Board of Trustees meetings.
  • Processes all observers coming to Cleveland Clinic Florida, and provides the Medical Staff and Nursing Staff with regular updates on the Cleveland Clinic Intranet.
  • Advises Committee Chairs and members, of JCAHO requirements (and changes) related to the functions of the Committee.
  • Ensures that issues requiring action by medical Staff Committees are routed appropriately through the Committee structure.
  • Assists the Committees with carrying out their activities by reaching and accumulating data needed for analysis and decision-making.
  • Develops systems or mechanisms for efficiently and effectively tracking and recording committee activities and actions, Develop mechanisms for communication of committee activities/actions throughout the hospital and medical staff members. Screens and reviews all policies, procedures, and forms with appropriate hospital department managers and committee chairs before presenting to Medical Executive Committee.
  • Distributes, collects, and tabulates all Medical Staff voting items.
  • Manages the Medical Staff Funds for the Medical Executive Committee-Includes accounts for the OR and Nursing Dept. Assists the Executive Director, Division Chiefs, Manage Care Director, and the OPSA Administrator with any medical staff related issues that need to be addressed.
  • Responds to requests for information or assistance from physician's offices, hospital departments, and managed care companies etc. on issues related to Medical Staff affairs.
  • Utilizes knowledge of the Medical Staff and Hospital Bylaws.
  • Assists the Medical Staff and Administration in identifying and complying with legal issues related to the medical staff.
  • Works with the Hospital Administrator, Risk Manager, and Legal Counsel as needed on issues related to legal requirements.
  • Organizes all meal requests, room requests, and confirms attendance for all members of committee.
  • Handles all filing, photocopying, mailings, phone work, and office supplies related to the Medical Staff Office.
  • Distributes Medical Staff Rosters and mailing labels to appropriate hospital personnel.
  • Maintains complete and up-to-date documentation and files at all times. Participates in Performance Improvement Teams as assigned.
  • Attends and participates in monthly department manager's meetings.
  • Ensures telephone and office cross coverage for Chief of Staff.
  • Acknowledges and responds tactfully to all requests.
  • Other duties as assigned.

Education:

  • College Degree appropriate work experience relating to the Medical Services environment.

Certifications:

  • Certified by the National Association of Medical Staff Services (NAMSS) as a certified professional medical services management (CPMSM) and/or Certified Provider Credentialing Specialist (CPCS) preferred.

Work Experience:

  • Minimum of five years experience in the medical staff services field, including credentialing and quality assurance experience with emphasis on communication and organization skills.
  • Knowledge of JCAHO accreditations medical staff standards.
  • Knowledge of NCQA accreditation credentialing and re-credentialing standards.
  • Knowledge of state and federal regulations related to credentialing, and medical staff services issues.
  • Strong supervisory skills.
  • Strong organizational skills.
  • Knowledge of computer and office systems and information management including the ability to retrieve, display, and interpret large amounts of data.
  • Knowledge of managed care structures.
  • Ability to interact with physicians and hospital staff in an effective manner.

Physical Requirements:

  • Essential Duties: This position requires knowledge of all aspects of Medical Staff
  • Services work. Effective skills in on-to-one, small group, and large group communication; conceptual thinking; political process, making and public relations; accounting; project management; technical writing; and planning. Ability to assume responsibility and exercise authority. Verbal and written communication skills to communicate with staff, physicians, peers, superiors, vendors, patients, and their families.
  • Numerical ability is required.
  • Able to handle multiple tasks using time management principles to meet goals and deadlines.
  • Ability to retrieve, communicate and present data and information is essential. The ability to maintain confidentiality of information is essential.
  • Physical Duties: This position requires frequent walking, sitting, and standing etc.; frequent talking and listening when giving instructions and explanations. Frequent use of phone and computer.
  • Working Conditions: The person in this position spends most of the time indoors, in air-conditioned areas. Occasional trips required to attend meetings at the clinic site. Potential for exposure to blood and blood borne pathogens minimal while performing administrative duties.

Personal Protective Equipment:

  • This position requires minimal exposure to infectious wastes such as blood and body fluids in the administrative role. Follows Standard Precautions using personal protective equipment as required for procedures.

Pay Range

Minimum hourly: $27.65

Maximum hourly: $42.17
