Function

The Project Coordinator (PC) plays a pivotal role in supporting Project Managers to ensure projects stay on schedule and within budget. The ideal candidate possesses excellent organizational skills, attention to detail, effective communication, and critical thinking abilities. The Project Coordinator is responsible for understanding project scope, vision, and intent, facilitating communication, and overseeing action items during the project's life cycle. They are also accountable for managing project finances, procurement, scheduling, and liaising with various stakeholders, both internal and external.

Essential Duties & Responsibilities

  • Review project contracts, scopes of work, and related documentation with the Project Manager to maintain a clear understanding of project requirements.
  • Ensure seamless and timely communication of project information throughout the project's life cycle.
  • Facilitate action items between internal operations, subcontractors, and clients.
  • Assist Project Manager in project oversight, including procurement, forecasting, and budget tracking.
  • Keep purchasing and accounting updated with relevant financial information.
  • Assist with the management of installation calendars and resource schedules.
  • Create project submittals, change orders, and closeout documentation.
  • Organize, upload, and track all project documents.
  • Verify and catalog project expenses alongside the Project Manager.
  • Coordinate project logistics with internal teams, clients, subcontractors, and vendors.
  • Work with Warehouse Manager and Operations Coordinator to ensure the proper equipment is prepared and shipped.
  • Assist with tracking billing and financial documents for projects.
  • Manage project travel, expense reports, and take notes for project meetings.
  • Ensure unused project equipment is returned or reallocated promptly.
  • Maintain project logs for bonding purposes, both digitally and in paper format.
  • Keep project information accurate within management and estimation software.
  • Collect project profile information and photos for marketing purposes.

Minimum Qualifications

  • 3-5 years of project administration experience or related field.
  • Familiarity with design-build, retrofit, and commercial construction and installation projects.
  • Proven ability to effectively manage a team to meet established deadlines and priorities.
  • Strong organizational and multitasking skills.
  • Proficiency in reading and interpreting contracts, construction documents, and drawings.
  • Excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite, AutoCAD, and Adobe Creative Cloud Suite.
  • Willingness to travel to project sites as required.

Preferred Qualifications

  • Experience in Live Events Production and Themed Entertainment Construction.
  • Knowledge of Audio, Video, Lighting, and Rigging systems design and integration.
  • Experience with Q360, D-Tools, HubSpot.
  • Industry certifications such as ETCP, CTS, OSHA 30 Hour, CAPM, etc.

Physical Working Conditions

  • Ability to lift up to 50lbs.
  • Work at heights in various venues.
  • Physical ability to walk, crawl, and work in challenging positions.
  • Must be able to travel to Clearwing offices and job sites as required.
