ADMINISTRATIVE TECHNICIAN

GENERAL STATEMENT OF RESPONSIBILITIES
Under general supervision, this position performs a variety of high-level technical and
administrative support responsibilities and related functions for a division. Reports to a division
commander or designated supervisor.
ESSENTIAL JOB FUNCTIONS
Performs administrative support work such as creating or modifying documents using word
processing, spreadsheets, presentation software and any other assigned databases
(VCIN/NCIC/CADS/MUNIS) and programs that may support job functions that involve filing,
data entry/retrieval; interpretation, judgment, and determining appropriate processes to be used.
Retrieves and compiles data reports, questionnaires and other similar information to ensure
accuracy and conformance to established policies and procedures; sorts and distributes mail.

Develops and maintains accountability systems for personnel rosters; inspections logs; pending
assignments; meetings; supervisor calendars; community events and programs; office supplies
and equipment assets. Coordinate agency extra duty assignments; travel/training requests; and
the use of various conference rooms to include reservations, catering services, audio/visual
equipment.

Interacts with the public and others outside the work unit to obtain and provide information and
assistance in a variety of circumstances. Screens and responds to general inquiries and complaints;
provides information on policies and procedures; may collect and balance payments received.
May develop and/or maintain a wide variety of projects and assignments that include records
management duties and system maintenance; transcribing witness, victim or suspect taped
statements; ordering supplies or reconciling purchase card transactions and related tasks;
compiling and/or entering payroll information and communicating appropriate personnel
actions; coordinate travel and training requests.

Performs other duties as assigned.

REQUIRED KNOWLEDGE

Office Administration – Knowledge of office systems, practices, procedures and administration.

Technology - Knowledge of general office equipment and personal computers to include word
processing, spreadsheet, and related software.

Customer Service — Considerable knowledge of principles and processes for providing customer
service. This includes setting and meeting quality standards for services, and evaluation of
customer satisfaction.

REQUIRED SKILLS

Computer Skills – Utilizes a personal computer with word processing, spreadsheet, and related
software to effectively complete a variety of administrative tasks with reasonable speed and
accuracy.

Interpersonal Relationships – Develops and maintains cooperative and professional relationships
with employees and all levels of management to include representatives from other departments
and organizations.

Time Management - Plans and organizes daily work routine. Estimates expected time of
completion of elements of work and establishes a personal schedule accordingly. Implements work
activities in accordance with priorities and estimated schedules.

REQUIRED ABILITIES

Communication – Excellent ability to communicate, listen to and understand directions,
information, and ideas presented verbally and in writing, which may include the preparation of
detailed reports including numerical information and statistics. Ability to handle a variety of issues
with tact and diplomacy and in a confidential manner.

Judgement/Decision Making – Ability to use logic and reasoning to understand, analyze, and
evaluate situations and exercise good judgment to make appropriate decisions.

Accounting – Ability to perform arithmetic, algebraic, and statistical applications. Ability to
employ economic and accounting principles and practices in the analysis and reporting of data.

EDUCATION AND EXPERIENCE
Requires a high school diploma and 2 years of related administrative support experience or an
equivalent combination of education and experience necessary to develop the required knowledge,
skills and abilities for this position.
ADDITIONAL REQUIREMENTS
Requires a comprehensive background investigation to include a local, state and federal criminal
history check; sex offender registry and credit check.
May be required to obtain and maintain Level A/B VCIN/NCIC Operator Certification as a
condition of employment.

PHYSICAL REQUIREMENTS

Requires the ability to exert light physical effort in sedentary to light work.

Some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10
pounds).

Tasks may involve extended periods of time at keyboard or work station.

SENSORY REQUIREMENTS

Some tasks require the ability to perceive and discriminate sounds and visual cues or signals.

Some tasks require the ability to communicate orally.
ENVIRONMENTAL EXPOSURES
Essential functions are regularly performed without exposure to adverse environmental conditions.
