Job Summary

This position reports to the Public Works Director (or designee) and/or the Administrative Services Manager. The Department Secretary is responsible for providing responsible secretarial services to the DPW staff and Cemetery Sexton at the Department of Public Works. The position is 29 hours per week, with Friday coverage a must, and some flexibility for the remaining hours.


Knowledge Skills and Abilities

The Department Secretary is responsible for providing responsible secretarial services to the DPW staff and Cemetery Sexton at the Department of Public Works; receives telephone calls and visitors, processes work orders, develops and updates office procedures, maintains, organizes, and updates filing systems, prepare reports, prepares a variety of correspondence, schedules and coordinates meetings, and appointments, and processes data.

The position interfaces with the public to answer questions, process requests, respond to and route complaints, or explain policies and procedures. There may be frequent contact with numerous states, federal, social service agencies, private companies, and other outside agencies. Contacts of this type concern public relations activities, research, and interdepartmental communication and follow-up on projects, or in need of information and referral.


Recommended Minimum Qualifications

Knowledge, Skills and Requirements
  • Organizes DPW data filing system and is responsible for maintaining the files (digital and paper).
  • Assists with data entry into the city’s financial system
  • Responsible for the preparation and maintenance of the easement projects file to include notification to public, and updates & changes from State through the electronic easement system.
  • Assists with payroll entry. Assists with processing and tracking of billings and invoices which may include purchase orders, change orders and pay applications.
  • Assists with disbursement and reimbursement requests related to capital projects.
  • Assists with Asset Management Work Order system.
  • Assists with cemetery administrative duties and assists the Cemetery Sexton as needed.
  • Assists with filling in for other secretarial positions “as needed”. Assists with other administrative duties as assigned by the Administrative Services Manager and the DPW Director.
  • Opens mail and distributes mail; makes photo copies and sends faxes.
  • Other duties as assigned.

Candidates for this position should have a strong financial and/or bookkeeping focus. Responsibilities include: processing & coding invoices, purchase orders & work orders, billing customers, processing Dept. disbursements & reimbursements in the City’s asset management system; assisting the Cemetery Sexton with administrative services, answering telephone calls & greeting visitors, developing office procedures, maintaining, organizing & updating the Dept. filing systems, prepares financial reports & a variety of Dept. correspondence, schedules & coordinates meetings.

Candidate should have a High school graduate or equivalent and two (2) to three (3) years of experience in basic principles of office management, computer skills in Word and Excel programs, record keeping and filing, communicates well orally and in writing with the public.
