Job Description

GENERAL PURPOSE
Provides essential support in managing court dockets, ensuring accurate record-keeping, and facilitating efficient courtroom operations. Your primary responsibility will be to maintain court dockets, manage case information, and assist court staff, attorneys, and the public in accessing and understanding court records. The ideal candidate for this position should have exceptional organizational skills, strong attention to detail, and a working knowledge of court processes and procedures.
SUPERVISION EXERCISED
Employee has no supervisory responsibilities.

Essential Duties

CORE COMPETENCIES:
Maintain and update court dockets with accurate and current case information.
Review court filings, pleadings, and other legal documents to ensure proper docketing.
Schedule court appearances, hearings, and trials in accordance with established protocols.
Communicate with judges, court clerks, and other personnel to ensure smooth docket operations.
Monitor case status and progress, flagging any potential delays or issues to relevant parties.
Enter and manage case data, including defendant information, charges, and case histories.
Provide courteous and accurate information to attorneys, litigants, and the general public regarding court processes, case statuses, and related inquiries.
Respond to phone inquiries and emails in a professional and timely manner.
Prepare and distribute court calendars, notices, and summonses as required.
Assist with the processing of court-related fees, fines, and payments.
Works closely with the Court Coordinator in order to coordinate all court dates and dockets between judges, prosecutors, attorneys, and the jail.
Ensures all cases have future court dates and informs judicial staff regarding cases awaiting decisions on motions.
Coordinates, prepares and distributes docket schedules.
Enters data in case management system.
Conducts research on case statuses.
Monitors cases in various queues to ensure they are being moved through the process in a timely manner and are being placed on the appropriate dockets.
Completes all activities involved with scheduling interpreters as needed.
Learns, and correctly interprets, and applies the laws, codes, policies and procedures related to the processing of criminal court cases.
Assists the public in person, by mail/email and by telephone including retrieving information and files and providing complex information to defendant’s regarding their criminal court case.
Responsible for responding to email received via the municipal court email.
Relieves the Court Coordinator during lunches, breaks, and in their absence.
Assists the Court Coordinator with the overseeing of the issuance of summons.
Assists the Court Coordinator during jury trials.
Assists the Court Coordinator with subpoenaing witnesses.
Assists the Court Coordinator with overseeing jail arraignments and credit for time served requests.
Assists the Court Coordinator with completing after-action court activity, i.e., final judgments, notices to defendants who did not appear, bailiff affidavits, quality control.
Performs backup assistance for the Intake Coordinator as it relates to citation entry.
Performs all Defendant Services Representatives duties as needed.
Assists management with providing training for court staff.
Administers oaths.
Compiles and maintains a wide variety of court records, statistical reports, and materials.
Scans court documents into the court system.
Operates a computer terminal and printer to type, enter, modify and retrieve a wide variety of court documents, reports, records, letters and other material.
Ability to make sound judgments and decisions.
Adheres to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensures all behaviors comply with the City’s Personnel Rules and Regulations.
Performs other duties as assigned.

Required Minimum Qualifications

Education and Experience:
  • Graduation from high school or equivalent; and
  • Two (2) years of clerical, administrative, and customer service experience, including collection of cash; and
  • One (1) year of related college level training; preferred.
  • Any equivalent combination of education and experience.

Knowledge, Skills and Abilities:
  • Municipal Court experience preferred.
  • Working knowledge of computers.
  • Ability to adapt to constant change.
  • Considerable knowledge of general office procedures.
  • Working knowledge of legal language and legal procedures.
  • Ability to make sound judgment and decisions.
  • Ability to multi-task in a very fast paced environment.
  • Ability to handle high stress levels due to the fast-paced environment and dealing with difficult individuals regarding criminal cases.
  • Ability to cross train and assume duties of other personnel on an “as needed’ bases.
  • Ability to facilitate in house training.
  • Ability to work with angry of difficult defendants.
  • Maintains regular and punctual attendance.

SPECIAL REQUIREMENTS
  • Must have a valid driver’s license by date of hire.
  • Must obtain and maintain a Texas Driver’s License within 90 days of hire.

Personal computer, including spreadsheet and word processing software; central Municipal Court computer system; telephone; 10-key calculator; typewriter; copy and fax machines.
