City of Greeley is Hiring a Real Estate Technician Near Greeley, CO

Salary Range: $49,300 - $64,100 Annually 

Job Summary:

The City of Greeley is proud to represent one of the fastest growing and forward-thinking communities in northern Colorado. The Real Estate Management Division is housed with the Department of Economic Development and Urban Revitalization and is responsible for the management of the City’s real estate assets and interests. This includes the acquisition, inventory, assessment, and disposition of City real estate and oil & gas interests in support of the City of Greeley’s goals and work plans.

This position will report to the Director of Economic Development and Urban Revitalization and will perform routine real estate and project assistance duties in support of City departments in the completion of their projects. It will also serve as a key role in the inventory of City real estate holdings by means of data entry, scanning and indexing documentation and tracking in databases such as ArcGIS Pro, real property, and oil & gas asset databases.

Experience, Knowledge, Skills:

Minimum Requirements

  • High School diploma or equivalent.
  • Valid driver’s license. 

Preferred

  • One (1) year experience with drafting agreement documents, tracking data using spreadsheets, conducting research using various online databases, use of GIS/online mapping tools.
  • One (1) year experience complex software: ArcGIS Pro, eTrackit, Microsoft 365 SharePoint, Excel, Word, Access, and Outlook.
  • One (1) year bookkeeping experience.

Essential Functions:

  • Drafts, routes, and files legal documents. 
  • Responsible for inventory of City real estate holdings by means of data entry, scanning and indexing documentation and tracking in databases such as ArcGIS Pro, real property, and oil & gas asset databases. 
  • Assists with handling postage items including preparing, mailing tracking, and filing documents. 
  • Processes returned documents for execution and reporting status updates to the team.
  • Processes deposits, and tracks oil & gas royalty payments.
  • Processes acquisition payments and receipts for the division and projects, using designated budget unit numbers. 
  • Assists with ordering and tracking office supply orders.
  • Performs property and oil & gas ownership research using assessor records, City documents, county recorder documents, Secretary of State records, and other methods, including ordering of title documents.
  • Responsible for use of online database searches and use of GIS/online mapping tools.
  • Reviews and processes temporary requests to be on City-owned property via eTrackit.
  • Assists with project process tracking data entry, including preparing project dashboards and spreadsheets, completion of various project forms, and assists with updating of logs. 
  • Assists with drafting and updating of real estate processes and procedure documents, under the direction of the REM Manager.
  • Assists with tasks associated with curative efforts to remedy title matters relating to City real estate interests and interests to be acquired, including coordinating documents needed for lien releases, consent agreements, and tax prorations.
  • Provides support and assistance to the REM Specialists and REM Manager with various tasks associated with various real estate related projects.
  • Provides general support to Department staff on an as needed basis.
  • Communicates by making and receiving phone calls, emails, or personal meetings with individuals or divisions.
  • Communicates effectively both verbally and written. 
  • Corresponds by meeting in person, via phone calls, emails, or written letters. 
  • Communicates by coordinating signatures (in-person or via DocuSign) and notary services in support of property acquisition and conveyance transactions to support City projects.
  • Provides project support for documenting contractor discussions related to City projects, billing processing, and scheduling.

Supervisory Responsibilities

  • No supervisory responsibilities 

Work Environment and Physical Requirements:

Travel

  • This position could travel up to 20%.
  • Must be able to drive a city issued vehicle for work related tasks occasionally.

Work Environment

  • Work is primarily performed in an office environment.
  • The City of Greeley has established a formal telework policy that allows eligible positions, in coordination with their departments’ management team, an opportunity to incorporate a component of remote work into their working schedule. This position will be eligible for consideration under the City's telework policy.

Physical Requirements

  • Minimal physical effort typically found in clerical work. Primarily sedentary, may occasionally lift and carry light objects. Walking and/or standing as needed and minimal. 
  • May require travel to property or project sites for project-related matters.
  • Safe to minimal hazards that are typically found in general office environment where there is rarely little or no exposure to injury or accident.
  • May require minimal hazards associated with setting up and handling printed files relating to municipal real estate transactions.
  • Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and ability to adjust focus.
  • Vision enough to read computer keyboards, reference books and other written documents. 
  • Communication skills sufficient to convey information to the public via telephone and in person. 
  • Manual dexterity sufficient to accurately input, retrieve and verify work assignments.
