DEFINITION
To provide a variety of routine clerical support to various City offices, which may include receptionist duties, typing, word processing, record keeping and filing.
WORKING CONDITIONS
Work is generally performed in an office setting. Pressures may be generated by deadlines, volume of work, frequent interruptions, or seasonal work periods. Depending upon department assigned to, some positions may require working shift work, weekends and holidays.
PHYSICAL DEMANDS
Work may include prolonged sitting and standing, as well as light to moderate lifting, reaching, stooping, and pulling. Manual dexterity, clear (understandable) speech, visual and hearing acuity are also required.
DISTINGUISHING CHARACTERISTICS
Office Assistant I is the entry level class of this office support series. Initially under close supervision, incumbents learn office and City procedures. As experience is gained, there is a greater independence of action within established guidelines. This class is alternately staffed with Office Assistant II and incumbents may advance to the higher level after gaining experience and demonstrating proficiency, which meet the qualifications of the higher-level class.
SUPERVISION RECEIVED AND EXERCISED
Depending upon department assigned to, may report to a supervisor, manager, or department head. May receive guidance or direction from a higher-level administrative or technical staff member. Incumbents in this classification do not exercise supervision.EXPERIENCE AND EDUCATION
Office Assistant I
- One (1) year of general clerical experience is required.
- Education equivalent to the completion of the twelfth grade is required.
LICENSES AND/OR CERTIFICATES
- May require possession of and the ability to maintain a valid California driver's license.
- Depending on department assigned to, some positions may require passing a thorough background investigation.

ct as receptionist: receive and screen visitors and telephone calls; take messages; provide factual information to the public regarding City or departmental regulations and functions; schedule appointments and take registrations.Type correspondence, reports, forms, and other documents related to the organizational unit to which assigned from drafts, notes, dictated tapes, or brief instructions, using a typewriter or personal computer. Proofread and check typed and other material for accuracy, completeness, compliance with departmental policies, and correct English usage, including grammar, spelling, and punctuation.
Enter, edit and retrieve data and prepare reports from an on-line or personal computer system, following established formats.
Prepare and update a variety of reports, which may require the use of arithmetic calculations.
Maintain records and process forms, such as permit applications, purchase requisitions and orders, and other documents specific to the organizational unit.
Establish and maintain office files; research and compile information from such files.
Perform office support activities such as opening and distributing mail, processing outgoing mail, ordering and picking up office supplies.
Coordinate and set up for meetings; attend meetings and take minutes.
Perform related duties as assigned.
Knowledge of: Office practices and procedures, including filing and the operation of standard office equipment.
Policies and procedures related to the department to which assigned.
Business letter writing and the standard format for typed materials.
Basic business arithmetic.
Basic computer skills and Windows based applications including Microsoft Outlook and Word.
Correct English usage, including spelling, grammar, and punctuation.
Basic record keeping principles and practices.
Ability to: Perform detailed clerical work accurately.
Organize and maintain accurate files.
Use initiative and sound independent judgment within established procedural guidelines.
Prioritize work and coordinate several activities.
Compose routine correspondence from brief instructions.
Make accurate arithmetic calculations.
Operate standard office equipment, including a personal computer; may operate a two-way radio.
Establish and maintain effective working relationships with those contacted in the course of the work.
Understand and carry out oral and written directions.
Type accurately at the rate of 40 net words per minute from printed copy.
Work cooperatively with the public.
