Temporary Accounting Specialist

Duration: 3-Month Temporary Assignment

Salary Range: $18/hr. - $20/hr.

Work Hours: Monday-Friday 8:00am – 5:00pm

Summary:

The Accounting Specialist in this role plays a crucial role in maintaining the City's financial integrity and revenue cycle. They handle various responsibilities including posting daily deposits, managing accounts receivable transactions, monitoring and resolving banking issues, invoicing and tracking payments, preparing reports, assisting in audits, posting journal entries, and providing administrative support. They also participate in online workflows and ensure smooth operations in the accounting department.

Job Responsibilities:

• Ensures the City’s revenue cycle is maintained by observing cut-off periods for accounts receivable transactions.

• Posts daily deposits into the accounting system for cash, checks ACH and wire for all funds for all applicable bank accounts with the City. Posts daily web payments for Court, CYS, Active Living and PayPal.

• Reviews and communicates as needed regarding returned checks, stop payments, and debit exceptions for all bank accounts. 

• Imports and posts daily tax revenue into the accounting system.

• Posts approved automatic bank withdrawals and wires initiated/completed by the Accounting Specialist (AP) or Accountant.

• Updates Excel spreadsheets for revenue staff to allocate motor vehicle, intangible, property transfer, and annual railroad tax revenue.

• Invoices monthly fuel usage reimbursements to Decatur Housing, DeKalb Housing, City of Decatur Schools and City of Avondale. Issues miscellaneous invoices. Monitors receipt of payments and pursues delinquencies.

• Prepares a monthly distribution report for fuel utilized throughout the City by the employees for posting by departments into the accounting system by the Accounting Specialist (AP).

• Monitors, prepares and posts accounts receivable for all funds at the year-end. Provides documents related to annual audit as needed.

• Posts journal entries into the accounting system for moving credits and any applicable revenue reclassifications.

• Serves as back up to Accountant in coding paper checks for all funds and backs up Accounting Specialist (AP) for accounts payable.

• Conducts password resets and user maintenance in online banking.

• In addition to paper-based processes, participates in online and/or paperless workflows.

• Provides administrative support in accounting area to include mail intake, supply orders, service/repair orders, preparing letters & forms, and filing deposits, bank statements, and wire transfer documents.

Minimum Qualifications:

High school diploma or equivalent; Bachelor’s degree in related field preferred, AND minimum of three (3) years of work experience in accounting or related field; government financial certification preferred.

Physical Requirements/Environmental Conditions:

Work is sedentary office work normally sitting with walking, standing and lifting of books and files. Ability to use hands and arms to operate office equipment and a computer keyboard.

Equipment:

Skilled in operating standard office equipment, electronics, and office software. Must demonstrate knowledge of various computer applications, including MS Office, financial accounting, and spreadsheet applications.
