Job Summary Supervises various Collections Division functions to ensure availability and accuracy of court information processed through the municipal court system. Job Description Overview The Supervisor - Court supervises and oversees various collection division functions to ensure availability and accuracy of court information processed through the municipal court system. Provides direction and oversight for personnel performing Court Specialist tasks. Essential Functions 1 Supervises, oversees, and monitors the daily operations involved in municipal court documents, coordination, and proceedings.; assigns work, monitors inspections, tracks and documents personnel time, and maintains updated software; prepares and reviews periodic reports to determine quality of work performed. 2 Coordinates, delegates, and monitors payment plans, judge court ordered extensions, performance evaluation, feedback provision, and data collections for performance measures. 3 Implements plans, schedules, and assignments; determines objectives needing emphasis; recommends or adjusts work priorities, project schedules, resources, and work plans as required. 4 Gives advice, counsel, instruction, and identifies routine training needs for Court Specialists and related staff; provides knowledge and expertise on updated legislation, state laws, local ordinances, court proceedings, evidence gathering, citation management, and other activities; ensures appropriate internal controls are in place and regularly evaluates staff and provides performance feedback. 5 Interacts, engages, and communicates with Judiciary personnel, prosecutors, bailiffs, Police department, and other law enforcement agencies; addresses issues and successfully implements, coordinates and processes procedural changes pertaining to court functions. 6 Participates in staff and personnel management; provides training and professional development for Court Specialist personnel and audits daily work. 7 Performs daily vault audits and reports any discrepancies to management. 8 Performs any and all other work as needed or assigned. Knowledge and Skills 1 Knowledge of municipal, state, and federal regulations. 2 Knowledge of the principles and practices related to court records. 3 Knowledge of municipal court operating procedures. 4 Ability to supervise, plan, and evaluate the work of others. 5 Ability to interact effectively with the public. 6 Ability to analyze procedures to improve operations. 7 Ability to provide calm, professional, and excellent customer service. 8 Ability to manage time and complete multiple tasks. 9 Communicating effectively verbally and in writing 10 Establishing and maintaining effective working relationships. Minimum Qualifications EDUCATION: High school diploma or GED. EXPERIENCE: Five (5) years of progressively responsible experience in court or legal office administration involving one or more of the following: Collections/Cashiering Customer Service requiring heavy phone/public contact Analyzing accounts Resolving complaints Records Management AND One (1) year of supervisory or lead work responsibilities. EQUIVALENCIES: An associate degree in public administration, business administration, criminal justice or related field plus three (3) years of the required experience including one (1) year of lead work/supervisory responsibilities will meet the education and experience requirements. A bachelor's degree or (higher) in public administration, business administration, criminal justice or related field plus one (1) year of the required experience including one (1) year of lead work/supervisory responsibilities will meet the education and experience requirements. OTHER REQUIREMENTS: No outstanding citations or warrants Must be able to pass extensive background check Availability for evening shifts, nights/weekends/holidays. PREFERENCES: Effective oral/written communication skills MS Office or similar software skills. Ability to interpret policies and follow established procedures/guidelines. Spanish/English bilingual skills are a plus. Closing Date: May 10, 2024 Salary Range $23.94 - $29.93 The salary listed on this job posting is the starting salary range; amount offered will depend upon qualifications.
