Chief Deputy Clerk / RMS Clerk
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned by the Clerk.
  • Accurately, quickly and courteously receive incoming calls from internal and external customers and extract the maximum amount of essential information in a minimum amount of time.
  • Serves as an information resource for all internal and external customers via phone or in person.
  • Accurately, quickly utilizing the Case Management System for information pertaining to records filed in Cleveland Municipal Court.
  • Generate Court documents, process paperwork and send to the appropriate internal and external customers in a timely manner implemented to carry out the duty of the Clerk of Courts office and Court Order.
  • Data entry, processing and preparation of service resulting from all summons and subpoenas in accordance with the Court Order, Ohio Revised Code and established business processes and procedures.
  • Daily retrieval of all files in efforts of preparing the Judge and Arraignment dockets; including all Court add-on request.
  • Daily filing of any Court documents and or returned certified and/or regular mail associated with a Cleveland Municipal Court case file.
  • Complete all summons for Arraignment Court.
  • Print Personal dockets, judgment entries and stamp files.
  • Place files in alphabetical order according to the docket list.
  • Check-off files against docket edit list and list missing files.
  • Prepare the summons/subpoenas daily for the Judges.
  • Prepare the prosecutor subpoenas daily. Also, enter each subpoena into the computer and file.
  • Pick up files from all the departments of the Criminal Division.
  • Responsible for file break down.
  • Pull all files going to Iron Mountain Storage.
  • Process files for Storage / Process Granted Expungements for City of Cleveland and Cuyahoga County.
  • Retrieve files from storage.
  • Retrieve Jeter files for Data Entry Services Department and Traffic Department.
  • Responsible for all filing pertaining to all files handled in Cleveland Municipal Court, Criminal Division.
  • Responsible for file rotation.
  • Assist to locate files for Criminal Division.
  • Shred disposed case files.
 EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); and six months related experience and/or training; or equivalent combination of education and experience.
 CORE COMPETENCIES.
  • Must have intermediate or advanced Microsoft Word, Excel and PC computer skills, including data entry skills. 
  •  Must type 30 words per minute.
  • Capable of multi-tasking and has excellent written and oral communication skills.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to deal with problems and apply reasoning necessary to resolve issues.
  • Motivated, independent worker, who collaborates well with others.
  • Ability to work well in a team.
  • Hardworking individual, detail oriented with strong organizational skills.
  • Maintains a positive attitude, excellent interpersonal skills and excellent customer service.
  • Accuracy and attention to detail.
  • Clerical skills, i.e. filing, telephone skills, correspondence, proofreading, alphabetizing, etc.

High school diploma or general education degree (GED); and six months related experience and/or training; or equivalent combination of education and experience.
