Summary

The Administrative Assistant performs routine clerical, secretarial and administrative work in answering telephones, receiving guests, providing office assistance, data processing and record-keeping. City Electric Supply is looking to hire a specialized Administrative Assistant responsible for providing professional support to the members of the Head Office team and its affiliates.

Essential Job Functions

  • Provides information to all callers and directs accordingly.
  • Manages queries from the public and customers
  • Provide general administrative and clerical support
  • Prepare correspondence and documents
  • Enter vendor rebates on a monthly basis
  • Receive and sort mail and deliveries
  • Schedule appointments
  • Maintain strict confidentiality of information and records.
  • Performs all other duties as may be assigned.
  • Ability to develop and maintain positive relations with customers, coworkers and supervisors.
  • Ability to multi-task and to work effectively in a fast-paced environment.
  • Ability to work full time or overtime, if necessary.

Education/Experience

  • High school diploma or equivalent (GED), required.
  • Associate’s degree and/or three (3) to five (5) years administrative assistant experience or equivalent education, preferred but not required.
  • Must be proficient in Outlook, Word, and Excel.
  • Must be flexible and able to quickly react to last minute changes.
  • Must possess excellent interpersonal skills with the ability to interact with all levels in an organization.
  • Excellent communication skills via all means of communication including telephone, email, written correspondence and in person.
  • Excellent organizational skills with an exceptionally strong attention to detail/accuracy.
  • Strong analytical, judgment, discretion, confidentiality and decision-making skills.
  • Ability to read and interpret documents such as safety rules, operation and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram from.

Supervisory Responsibility

Physical Demands
