What We Offer
The City and County of Denver offers a competitive salary commensurate with education and experience. The salary range for this position is $70k-94k. We also offer generous benefits for full-time employees which include but is not limited to:

Location
This role is tasked with many on-site events, therefore much of your time will be spent at the airport. There will be opportunities to work remotely as business needs allow. Nights, weekends, and early mornings are occasionally required. The position can be physically demanding at times; ability to lift to 50 lbs. and be on your feet for long periods of time, with work outside of traditional business hours.
What You’ll Do
Denver International Airport (DEN) is currently seeking a Special Event Coordinator. This role will be hands-on and responsible for researching, planning, designing, implementing/executing special events for DEN. This position will oversee large-scale events and activations on the open-air plaza (located between the terminal and Westin Hotel), surprise and delight one-day events and entertainment in the Jeppesen Terminal and/or on all 3 concourses including the outdoor patios. Past events include annual all-employee BBQ, seasonal live music, and Pop-Up Park on the Plaza to name a few.
The focus of this role is unique public facing customer experience events and activations, but may also provide other event support for airlines, concessions, construction milestones, conferences, employee events and more. The Special Events Coordinator will be a part of the Customer Experience team, and report to the Director of Arts and Public Events. The position will work with internal stakeholders and external businesses or event partners, keeping them informed, seeking input into decisions, and providing regular updates on coordination efforts. Collaboration and coordination efforts with multiple departments at the airport are integral to success in this role.
As a Special Event Coordinator, you can expect to:
  • Oversee all aspects of scheduling and executing events including procurement, contracting, site visits, logistical meetings, and engaging stakeholders in the planning process.
  • Propose new events that are creative, unique, and match the vision of the events plan at DEN.
  • Oversee events budget and vendor negotiations to secure accurate scopes of work, estimates, contracts, purchase orders and invoices within allotted budget. Ongoing budget management and tracking is imperative to this position.
  • Clearly understand the guidelines, policies, and procedures of the City & County of Denver and Denver International Airport. Keep informed of changes to these policies as they arise.
  • Develop staffing plans, secure volunteers, and manage event volunteer teams as needed.
  • Create professional and organized internal communication documents including leadership presentation, marketing and communications asset plans, and activation plans considering facility needs and communicate plan to stakeholders.
  • Provide audio visual guidelines and assistance as needed. This can include setting up sound system and working with entertainment talent on use of AV in the various locations at DEN.
  • Secure event catering, rentals, AV, equipment and other assets or requirements unique to each event, and within the procurement guidelines and policies for the City.
  • Ensure compliance with insurance, legal, health and safety obligations.
  • Conduct pre- and post-event evaluations, report on outcomes and provide feedback and reports to stakeholders.

What You’ll Bring
Our ideal candidate is enthusiastic, dedicated and organized. As the Special Events Coordinator, you should have the skills to produce a variety of quality events from conception through completion aimed to entertain, educate, and engage passengers, staff, and community visitors at DEN. Additionally, you should:
  • Be proficient in Microsoft Office Suite
  • Be outgoing, enthusiastic, creative, and professional.
  • Have the skills and experience for coordination of professional events of all sizes, community events, conferences, or other related event production activities.
  • Have Audio Visual experience (a plus).
  • Have reliable means of transportation to/from DEN or the ability to drive a city issued vehicle to/from vendors to pick up and deliver
  • Not be afraid to be very hands-on during events with the ability to both handle events singularly and lead a team of volunteers as available
  • Possess clear and thorough communication skills including writing, proof reading and speaking
  • Be an organized self-starter, with proven collaboration and coordination skills and the ability to handle multiple projects at one time
  • Be detail oriented with experience in all event coordination aspects from planning to execution
  • Ability to maintain a flexible schedule to be able to adapt to the changing needs of events and activations at DEN.
  • Have experience with contract negotiation with vendors and complex procurement and budget tracking methodology to contribute to process improvements
Required Minimum Qualifications
Additional appropriate education may be substituted for the minimum experience requirements.
  • Education requirement: Bachelor's Degree in Public Administration, Marketing, Business Administration, Facility Management, or a related field.
  • Experience Requirement: Three (3) years of experience performing marketing activities and assisting in event production and planning.
  • Education/Experience Equivalency: One (1) year of the appropriate type and level of experience may be substituted for each required year of post-high school education.
  • License/Certifications: Requires a valid Driver's License at the time of application.

    Licenses and certifications must be kept current as a condition of employment.
FBI Background Check: FBI criminal background check is required for all positions at Denver International Airport (DEN). Employees are also required to report any felony convictions and/or moving violations to maintain this clearance and be eligible for continued employment. By position, a pre-employment physical/drug test may be required.
Snow/Emergency Duties: Denver International Airport is a 24/7/365 team operation. If weather conditions warrant or an emergency crisis occurs, all DEN employees can be required to work extended hours and/or shifts.
