Artistic Operations Coordinator - ASD

Full-Time Position

We are looking for our next Artistic Operations Coordinator to join our Affiliate Show Division’s (ASD) Artistic team. The main objective of this role is to to perform a variety of assigned administrative responsibilities in a manner which contributes to smooth internal operations and supports field activity of the shows, to include pre-production through on-site coordination on a per project basis.

The Artistic Operations Coordinator will have the opportunity to:

- Perform office administrative support for the Artistic Operations department and Artistic Producer (Artistic Ops), with dedicated areas of direct responsibility to include, but not limited to, word processing, copying, filing, contract payments, expense reports, and data entry;

- Assist Artistic Ops staff on projects as assigned, to include pre-production, scheduling, contracts and payments for VStar Entertainment Group touring shows, mall shows, theme parks and outside projects;

- Participate in the preparation, transcription, dubbing, and distribution of scripts, schedules and audiovisual materials for production teams, show personnel, and outside vendors;

- Assist with audition notices, arrangements for auditions, compilation lists, audition website(s), correspondence, and circulation of audition videos and forms;

- Coordinate travel arrangements for members of the Artistic Ops department, and independent contractors as requested;

- Assist Artistic Ops staff with special presentations and meetings as necessary, coordinating arrangements, notices, meeting notes, conference calls, and summaries on request;

- Provide research assistance for new projects, scripts, personnel, etc.;

- Provide on-site support as needed during show remounts & new productions;

- File and maintain archives upon completion of projects;

- Provide secondary support to the Operations and Retail departments as necessary;

- All other job-related duties as assigned.

What does it take for this role? The following hard skills are the basics of what’s needed to be successful in this position:

- Proficient in the use of Word, Excel, Outlook, PowerPoint, with willingness to learn additional software such as iMovie, Dropbox, AirTable, BaseCamp and other online databases;

- At least two years of previous experience in the entertainment field, preferably in theatre, live events, theme park or touring shows;

- Strong communicator and relationship builder;

- Expert level note taking, organization, and appropriate information distribution;

- Experience working with team members who speak multiple languages;

- Ability to work in Central time zone;

- Ability to secure and maintain a passport and enter Canada;

- Fluent in English, both written and spoken;

- If applicable for the tours travel schedule must be and remain in good standing with all proper authorities throughout the Services Period, including maintaining the validity of one’s passport and the ability to travel internationally;

- Verification of the right to work in the United States for Cirque du Soleil Entertainment Group, as demonstrated by completion of the Form I-9 upon hire and the submission of acceptable documentation (as noted on the Form I-9) verifying one’s identity and work authorization;

- Ability to pass a background check, which may include, but is not limited to, credit, criminal, DMV, previous employment, education, and personal references, per Company policy, unless prohibited by federal, state, or provincial law.
