LEGAL CASE MANAGER
THE OPPORTUNITY
We’re looking for the right mix of administrative wizardry, initiative, process management, tech proficiency, and genuine compassion in our next Legal Case Manager.
First and foremost, you’ll need to be patient and caring, as you’ll be working extensively with frequently distraught and confused people who are placing their trust in our hands. As a member of the Team and critical to the proper on-boarding of new clients, you’ll work daily with departmental colleagues, management, and attorneys to assist clients and establish their cases, handling all administrative tasks during the pre-litigation phase.
You’ll need to be a self-starter, taking directions from management and attorneys, and be able to independently handle multiple concurrent cases within a clearly defined process and timeline. You’ll be securing, creating, and organizing documents and evidence to prepare cases for litigation, as well as scheduling meetings and calls with clients, and following up within our lead and case management software programs.

DUTIES & RESPONSIBILITIES
· Communicate with clients via phone, text, email, Zoom, and in-person meetings
· Follow-up with clients for additional case information and evidence
· Perform case-related administrative duties, e.g., organizing, scanning, filing and mailings
· Set appointments for potential clients to meet with lawyers for processing
· Processing new client onboarding and establishing client files
· Through data entry and paperwork collection to ensure our cases are managed efficiently
· Prepare accurate and error-free documents in a timely manner
· Create and appropriately document matters using departmental software
· File Vine, Lead Docket, Vine Sign experience a plus
· Recognize and prioritize critical issues concerning court dates, deadlines, and conflicts
· Handle every interaction in a confidential manner
· Perform any other relevant work or duties as requested or assigned
SKILLS & QUALIFICATIONS
· Excellent interpersonal, written, and oral communication skills
· Excellent listening skills with the ability to ask probing questions, understand concerns
· Extract relevant and sensitive information in a professional and caring manner
· Excellent organizational and time-management skills
· Strong work ethic and self-starter, ability to effectively manage multiple priorities
· Adapt to change within a fast-paced (but fun) environment
· Litigation experience a plus
· Previous customer service or sales experience a plus
· CRM, lead and case management software experience a plus
· Proficiency with Microsoft Office Suite
EDUCATION
· High School Diploma or GED required
· Bachelor or Associate Degree preferred

WORK SCHEDULE
· Full time, Monday-Friday, some out-of-hours may be required
