Special Events & Community Partnerships Manager

About the Role
We’re looking for a Special Events and Community Partnerships Manager to join the Development Department, which is responsible for raising funds for Child Advocates. Funding provides foster
children with comprehensive trauma informed services, delivered by recruited, trained and supported Court Appointed Special Advocate (CASA) Volunteers. This role will plan and execute 3 major
fundraising events, manage community funder partnerships, and be responsible for raising approximately $700,000 from events, sponsorships, and partnerships. Our target is someone whose
passion is creating fun engaging events, building lasting partnerships, and fundraising.

How You’ll Have an Impact
Our Special Events & Community Partnerships Manager & will be responsible for:
● Special Events Fundraising
○ Event Planning
■ Plan, coordinate, execute a minimum of 3 annual major fundraising events (typically a golf tournament, gala, and a fashion event) raising approximately $620K through sponsorships, auctions, tickets, and other revenue streams.
■ In coordination with Director of Development and Event Committee develop and manage events’ budgets and revenue plans including sponsorship packages
■ Collaborate with internal and/or external graphics designer and vendors on the creation of event materials, collateral and giveaways
■ Research, propose and secure possible venues for functions based on budget, geography, accessibility, aesthetic appeal and availability
■ Develop staffing plans to ensure quality standards are met.
■ Maintain organized and detailed master event files and documentation to aid in planning and executing future events.
■ Complete all post event follow up, including debriefs, acknowledgement letters, and finalizing revenue and expense numbers.
■ Prepare formal briefing materials with final results for CEO and Director of Development.
■ Plan and execute donor stewardship events
■ Manage Vendor Relationships by: 
○ Negotiating all financial commitments for delivery of products and services by outside vendors for assigned events using Child Advocates procurement and purchasing policies
○ Contracting for services from vendors including caterers, AV services, parking services, photography, etc.
○ Verifying invoices and arranging for payment of event expenses.
○ Ensuring events stay on budget, monitoring financial commitments during lead-up to the event and making alternate arrangements if cost overrun appears likely.
○ Fundraising:
■ Determine benchmarks for success prior to each assigned event, evaluate their
effectiveness after the event, and incorporate improvements in future planning.
■ Work with Development teammates tracking pledges, payments, RSVP’s, and in-kind donations.
■ Ensure all sponsors receive the benefits as outlined in the sponsorship package
■ Work closely with Event Committee Chairs on:
■ recruitment of event volunteers, securing auction items, promoting the event, and all other aspects of annual events (as outlined below)
■ leveraging Event Committee’s network to solicit corporate sponsors, ensuring coordination with other organization’s fundraising activities.
● Community Partnerships & Fundraising
○ With the Director of Development, strategize the direction and growth of community fundraising to develop and execute a community fundraising plan.
○ Secure approximately $80,000 annually in community partnerships (either monetary or in kind donations)
○ Cultivate, solicit and steward relationships with community funders.
○ Design and implement a community donor stewardship program
○ With the Directors of Development and Programs design community agency volunteer activities
○ Mobilize the Director of Development, CEO, and Board members to assist with community cultivation, solicitation, and stewardship, as appropriate. Including providing background on prospects, history of giving, strategy for the ask, and appropriate marketing materials.
○ Attend networking events to build relationships with new community partners.
● Other Responsibilities
○ Provide accurate and timely reporting to Director of Development
○ Provide outcomes for any corporate grant reporting
Agency Support
● Participating in agency events and activities.
● Participating in agency projects and initiatives, as requested.
● Completing all other duties as assigned.

What We’re Looking For
Experience
● Minimum 4 years of experience in special event planning and fundraising and community relations/or related activities
● Demonstrated ability to cultivate new relationships with constituents and community partners.
● Demonstrated ability to build and retain quality relationships with various stakeholders: board members, staff, volunteers, corporate partners, and community members
● Demonstrated ability to learn and adjust to new circumstances including an ability to think quickly, pivot when needed, and see the impact that small details may have on the bigger picture
● Demonstrated ability to solicit contacts and secure funding
● Demonstrated creativity in project definition, execution, and problem solving
● History of excellent customer service skills
● Proficiency in Microsoft Office, Google, and CRM databases. Ability to learn new systems.
● Experience with the foster care system desired.

Skills
● Excellent internal and external communication skills
● Detailed organizational skills. This includes, but is not limited to the ability to create and maintain shared work plans, task lists, working documents, and maintain virtual file storage.
● Canva, and/or other design skills preferred
● Performs tasks under minimal supervision.
● Demonstrates good judgment and discretion.
● Demonstrates strong organizational skills and commitment to accuracy and detail.
● Meets deadlines as assigned.
● Ability to appropriately represent Child Advocates as a public spokesperson
● Commitment to the mission of Child Advocates and desire to be an engaged member of the Development team.

Important Details
Supervisor: Director of Development
Status: Full Time; Hybrid: 3 days in office, 2 days remote eligible
Location: Milpitas, California
Salary: $68,000-$72,000 DOE
Benefits: Full employee medical, dental, vision coverage; holidays; and paid time off (PTO).
