Chicago Dental Society Foundation Dental Clinic is Hiring an Office Manager for Nonprofit Dental Office Near Wheaton, IL

The Chicago Dental Society Foundation Dental Clinic is seeking a Clinic Manager. Key responsibilities for this position include compassionate and professional first-line interaction with patients, volunteer dentists, donors and board members. The primary responsibiliies of the Office Manager are to supervise two part-time dental assistants, recruit volunteer dentists and manage the volunteer and patient schedule. Day-to-day responsibilities include reception duties, record-keeping and inventory control. The Office Manager is responsible for the daily clinic schedule which includes ensuring completion of patient financial qualification (and re-qualification) paperwork, scheduling appointments, greeting patients and managing the daily patient flow. It is important to note that we do not bill insurance/ public aid and do not accept payment for dental the dental care provided at the clinic.

Equally important, the clinic manager is solely responsible for the volunteer schedule which includes volunteer dentists, hygienists and dental assistants who donate their time five days each week to provide care. To accomplish this, the manager will follow up on volunteer leads to recruit volunteer dentist, answer questions, assist volunteers with paperwork and will be responsible for maintaining volunteer files and affiliated records such as licenses and continuing education credits.

Reporting requirements include weekly and monthly reports to the Clinic Board of Managers and Foundation Executive Director. Accurate record-keeping, filing and office organization skills are a must. Applicants should be comfortable using MS Office software, email, and other office technologies. Experience with practice management software such as MOGO is preferred. Experience with nonprofit human service agencies in the tri-county area is a plus.

The clinic manager maintains responsibility for clinic supply inventory. This includes monthly inventory review for appropriate supply levels and expiration dates. Applicant will be responsible for all supply orders and adherence to clinic budgetary guidelines. Additionally, clinic manager will be the point of contact for supply and equipment donations.

Other duties:

Any task required for patient care and smooth operation of the clinic as assigned.

5. Polite, well-spoken, good verbal skills and a commitment to patients, volunteers, donors and colleagues.
6. Strong ability to prioritize and multi-task independently.
