Campus Experience and Event Coordinator

Chatham University is now welcoming applications for a Campus Experience and Event Coordinator.

The visit experience for prospective students is an integral part of Enrollment Management at Chatham University. An optimal visit experience enhances the connection between the enrollment management office and supports yield goals critical to university growth and infrastructure. The Campus Experience & Event Coordinator is a creative, energetic, and detail-oriented professional who helps facilitate the University's "campus experience" for student visits and admissions events in order to increase student awareness, inquiry and enrollment.

This customer oriented position enhances the prospective undergraduate and graduate student campus visit by facilitating and managing campus tours with current students, enabling campus connections among various departments across campus (i.e., academics, financial aid, advising, etc.), oversees undergraduate and graduate campus event planning, logistics, and staffing (ambassador & admission staff), with overall priority on optimizing the overall guest visit experience in order to support enrollment of a high-quality, diverse student body.

The successful candidate must possess strong skills in diplomacy, tact, and discretion and be able to work independently in a fast paced, deadline driven, dynamic environment with changing priorities and multiple responsibilities and disruptions. In this role, the candidate will create and manage admission events (on campus and virtual), oversee prospective student campus visits, manage and train student ambassadors, and work to enhance the admissions (and other campus) building environments for maximum student impact. This position requires strong technical skills, a highly service-oriented focus, and strong communication skills. This position will oversee the collection and management of all student visit related data, is responsible for supervising student ambassadors, oversees and manages all events, and oversees other admission event related customer experience initiatives.

Qualifications:

  • Bachelor's degree required. Relevant course of study or experience preferred
  • Experience with event management preferred
  • Creative and effective written and verbal communication skills
  • Ability to manage timelines, budget, priorities and multiple events
  • Ability to work well in a fast-paced team environment
  • Prior experience with successful management of student or professional staff
  • Strong technical skills in database, CRM and productivity software - Slate experience preferred
  • At least two years of related professional experience

Duties and Responsibilities:

  • First point of contact for student visits.
  • Responsible for providing high quality information and service; planning all student visit schedules, coordinating appropriate admission and campus staff and faculty for the visit.
  • Acknowledges and responds to all visit requests in a timely and courteous manner.
  • Creates schedules for individual and group campus visits by coordinating faculty, coaches, staff, and admission counselors from across campus for high quality personalized campus experiences.
  • Conceptualize and execute a yearly admissions event plan (including collaborating on budget oversight with Directors). Work with teams across undergraduate and graduate programs, leveraging ideas to improve both on-campus and virtual student experiences.
  • Uses sound judgment and knowledge of department and university policies, procedures, and operations to respond to customer questions. Directs non-routine requests to appropriate personnel in a timely manner.
  • Inputs student visit requests and updates to student records into student information system according to established procedures.
  • Properly prepares correspondence to campus visitors confirming details of visit with high attention to detail.
  • Completes routine reports related to inquiries, campus visits, budget, special programs, student ambassador schedules, and other facets that impact student visits or events.
  • Functions as first point of customer contact and operates a multi-line telephone console to relay incoming and outgoing calls.
  • Oversee and manage all pre-event and event day logistics.
  • Makes suggestions for enhancements to the admission office environment and other campus areas (where applicable and able) that impact the campus visit experience.
  • Reviews student visit assessments to determine concerns, measure effectiveness and recommend changes based on data intelligence. Ensure appropriate follow-up with event attendees.
  • Build and generate standard and custom-request reports and analysis on a regular and as-needed basis to share event effectiveness and registration outcomes with leadership.
  • Communicate proactively, interact and partner with university facilities team for event needs.
  • In conjunction with Director of Undergraduate admission, supervise and oversee the training, assessment, and assignment of all student ambassadors (undergraduate, graduate and international).
  • In collaboration with Directors, manage student ambassador budget, timesheets, and schedules to ensure appropriate levels of visit and event coverage.
  • Oversee student call team, maintaining call scripts and lists including data tracking and outcomes.
  • Other duties as assigned.

Salary Range:

$38,100-$43,300. 40-hour work week.
