POSITION SUMMARY: Provide day-to-day support for Patient Representative team members. Coordinate workflow improvement practices for front desk services across assigned CIS and CR Breast services location. This person will be the point of contact to provide guidance on: pre-services, pricing, insurance questions/concerns, schedules, POS collections, and patient scheduling complaints. As part of this responsibility, this individual will identify improvement opportunities and escalate to management. This individual will work closely with the Site Manager and Patient Representative Manager to ensure Patient Representative staff at assigned location are performing to expectations and proactively addressing concerns in real-time, as they occur.
Essential Duties and Responsibilities:
  • Performs employee-focused management functions related to on-boarding/orientation/training, assisting Patient Rep Manager with staffing/scheduling, employee relations, and performance management as guided by the Patient Rep Manager and company policies/procedures.
  • Provides training for Patient Rep associates. Works with Patient Rep Manager to implement coaching and re-training of employees on various aspects of the Front Desk role as needed.
  • Proactively communicates with staff and keeps them informed on a regular basis or as needed. Assists the Patient Rep Manager with conducting regular staff meetings to disseminate important information relevant to their roles or the company. Encourages two-way discussions so that employee feedback and any concerns needing clarification or resolution are addressed in a timely manner. Leads employee engagement initiatives in collaboration with Site and Patient Rep Managers.
  • Works with Patient Rep Manager to identify and implement process improvements to FD workflows to ensure timely patient throughput while maintaining an optimal patient experience, acting as a change champion.
  • Works with Patient Rep Manager to investigate/address patient and employee complaints.
  • Work with Pre-Services to address issues with authorizations and orders.
  • Responsible for patient reception and registration, including preparation of patient paperwork and maintaining demographic and insurance information in electronic records system(s).
  • Collects payments and or/establish payment plans at the time of service.
  • Schedules patient appointments and procedures.
  • Manages incoming phone calls, acting as a resource for patients, referring providers, and colleagues.
  • Conducts outgoing patient correspondence, including appointment confirmations and following up on missed visits to ensure patients are seen in a timely manner.
  • Effectively communicates with other Patient Representative and clinical staff to help maintain office flow and efficiency.
  • Works with centralized teams to ensure necessary authorizations, financial estimates, and orders are on file.
  • Other duties as assigned.
Minimum Qualifications:
Education/Licensing/Certification:
  • High School Education
Experience (years and type):
  • 1-3 years’ experience in Front Desk, Patient Registration/Scheduling, Medical Assistant, etc.
Knowledge and Skills:
  • Basic knowledge about Human Resources functions including employee relations and engagement, timekeeping & payroll preferred
  • Familiarity with outpatient clinical setting and patient registration workflows
  • Ability to work independently
  • Knowledge of Microsoft Office products
  • Excellent communication skills, both written and verbal
  • Excellent customer service, both internal and external
  • Sitting for long periods of time, heavy lifting as needed
  • Excellent time management and organizational skills
  • Self-motivator, willing to work in high paced atmosphere
Travel Required (% of time):
  • 26-50% or as dictated by business need.
Physical Requirements & Work Environment:
  • Primarily sitting
  • Lift up to 25lbs
  • Infectious disease, bloodborne pathogens, lifting, standing, overtime as needed, work outside of normal M-F business hours if needed, coverage for call outs as needed
