Salary Range: $39,000 - $44,000

Reports to: Grant Compliance Team Lead

Position Summary:

The Grant Compliance Specialist is responsible for reporting, record keeping, and other administrative responsibilities that support the function of various CHI grants. The Grant Compliance Specialist works closely with the case managers to obtain, verify, and approve requests for Temporary Financial Assistance (TFA). Reporting to the Grant Manager/Team Lead, this position supports various federal, state, and local grants.

Position Responsibilities:

  • Perform quality review of Temporary Financial Assistance (TFA) requests submitted by internal and external case managers ensuring the required documentation is collected.
  • Perform quality review of the information entered into the HMIS database and confirm client eligibility.
  • Prepare and submit check requests associated with approved TFA requests
  • Serve as a point of contact for federal, state and local awarded grants and assist in the preparation of the required monthly and annual reporting. 
  • Process monthly billing reports and supporting documentation for all federal, state and local grants. 
  • Review invoices and supporting documentation from sub-recipients and submit requests for payment to the CHI finance department staff. 
  • Maintain the supporting documentation and assist in identifying any compliance issues related to grant reimbursement to CHI or to CHI’s sub-recipients. 
  • Determine and demonstrate CHI’s compliance with financial, legal and contractual requirements and restrictions. 
  • Communicate quality and/or compliance issues to the appropriate individual for corrective action. 
  • Work with the Monitoring & Training Specialist to identify areas in which additional training and/or resources are needed. 
  • Meet or communicate with funders and sub-recipients as necessary to educate and resolve grant issues. 
  • Meet professional obligations through efficient work habits such as meeting deadlines, honoring schedules, following procedures, coordinating resources and demonstrating respect for others. 
  • Other duties as assigned

Position Requirements:

  • Associate of Arts degree in a related field or 3 years of administrative, accounting, or quality assurance experience 
  • Previous grant experience with SSVF, ESG or other Rapid Rehousing/Homeless Prevention Program is helpful
  • Successfully pass Level II background check
  • Required to clear a federal-level drug screening; possession of a medical marijuana card is not acceptable under federal law
  • A valid driver’s license and clean 3-year driving history 
  • Must have required vehicle insurance within 30 days of onboarding 

Knowledge, Skills, and Abilities Required:

  • Administrative, accounting and/or auditing background helpful 
  • Demonstrated passion for ending homelessness
  • Solid typing skills
  • Excellent oral and written communication skills
  • Detail oriented and responsive to deadlines
  • Ability to work in a fast-paced environment
  • Proficiency in Excel, Word, and Microsoft Office
  • Ability to work with minimal supervision and meet deadlines
  • Strong interpersonal and organizational skills
  • Capability to learn and master HMIS (Homeless Management Information System) software (ClientTrack) 
  • Previous grant experience with SSVF, ESG or other Rapid Rehousing/Homeless Prevention Program is helpful

Physical Demands:

  • Periods or walking, standing, or sitting in an office or field environment for service provision
  • Limited physical effort required; however, the employee must occasionally lift and/or move up to 15 pounds
  • Ability to operate a motor vehicle
