CHA Careers is Hiring a Director, HQ Facilities Near Chicago, IL

The Director of HQ Facilities ensures the CHA central office building's services meet staff's needs and is responsible for managing the HQ Facilities team to ensure facilitation operations in the areas of contracts and providers for services. 

The Director is responsible for providing effective leadership for the following services: CHA central office lease and facilities, CHA fleet and vehicle policy implementation, mail and courier services, audio/video resources, office supplies, and office maintenance.

Director is expected to implement, model and monitor the following customer service standards: urgent execution, courtesy, professionalism, attentive listening, accuracy, respect, and collaboration. 

DUTIES AND RESPONSIBILITIES

  • Manages maintenance and office space needs of the central office, including rent payments, office moves, access control, work orders, office and paper supplies, and other miscellaneous tasks as needed.
  • Serves as liaison between CHA and building management.
  • Communicates to staff at CHA headquarters important building notices.
  • Oversees and coordinates safety protocol and procedures; establishes cohort of staff safety assistants and holds quarterly safety trainings.
  • Collaborates with other departments in relation to central office needs and makes recommendations to management with respect to central office needs and effective and efficient lease oversight.
  • Coordinates the procedures for the CHA Fleet Policy, including the purchases, leases, and maintenance for CHA's vehicle fleet. Manage the acquisition, maintenance, and disposal of vehicles for CHA's fleet inventory.
  • Oversee mail and messenger service operations, which include mail sorting, delivering, picking up shipments from the dock area, delivering mail to U.S. Post Office and the United Parcel Services Offices, and messenger service.
  • Manages and maintains reprographic service operations, which include: maintenance and service of all reprographic machinery, troubleshooting errors, fixing routine issues and assisting users with special printing needs; training users on the functionality of machinery; maintaining and managing associated stock.
  • Establish and maintain a centralized system for purchasing and tracking office supplies; monitor and maintain inventory. Review and approve supply acquisitions.
  • Direct staff who provides audio/visual and public address resources and effective room arrangement for the Board of Commissioners, resident and employee meetings, and various special events.
  • Manage contracted maintenance, repairs and construction within the building. Ensures that the appropriate staff/vendors are contacted to perform maintenance on-site. Plans, organizes, and supervises maintenance and repairs performed by vendors. 
  • Prepare and maintain RFPs, bid information, and other contract documents related to HQ Facilities.
  • Develops and monitors HQ department's annual budget; tracks expenses and, when applicable, revenues generated by the facility, and oversees department payroll.
  • Assuring full compliance with all federal, state, and local regulations and laws pertaining to Life safety and facilities.
  • Assist as needed with logistics and delivery of materials for HQ Facilities events such as Executive Office events and Board of Commissioners meetings.
  • Assist Human Resources with logistics for CHA All Staff meetings
  • May have the ability to work remotely once weekly.
  • Other duties as assigned. 

QUALIFICATIONS

Graduation from an accredited college or university with a Bachelor’s degree and a minimum of five (5) years directly related to commercial lease management, facilities, and fleet management, including increasing responsibility in facilities, project management, and supervising staff. Demonstrated experience and leadership in reading and interpreting plans specifications and understanding building and blueprint documents and commercial leases. Proven ability to communicate effectively, both orally and in writing, and proven ability to relate well with staff, residents, and visitors. Possess excellent organizational and time management skills and acts with urgency and empathy. Ability to prioritize and work on various projects at once and handle confidential matters with discretion. Flexibility to work occasional off-schedule mornings, evenings, and weekends as needed. 

Salary Range: $100,000 - $110,000

Grade: S10

FLSA: Exempt
