The Role:
The Donor Scheduling Coordinator (DSC) provides scheduling services for our Stem Cell Collection Centers throughout the United States. The DSC will be responsible for managing our blood donor appointment scheduling, answering donor questions, utilizing and following scheduling systems, procedures, and policies. supporting project scheduling as needed to ensure attainment of department goals.
Duties and Essential Job Functions
To be successful, the Donor Scheduling Coordinator will do the following:
● Schedule appointments for Collection Center donors at least 72 hours in advance
● Adhere to CGT Global and FDA guidelines around timelines for donors to safely donate blood-based products
● Demonstrate exceptional customer service skills, over the phone and in person, with our donors, clients, and internal departments
● Proficiently deliver information and answer questions through phone and electronic inquiries
● Remind donors of appointments
● Contact donors who are being recalled for projects
● Monitor appointment schedule continuously to ensure adequate number of donors are scheduled within our collection centers to meet daily collection goals and build efficiency into our product production
● Provide information to Donors who have joined our Donor Registry and enlist them for a qualification appointment
● Work with internal teams in Client Services, Sales and Collection Centers to monitor, report, and reschedule donors due to failed collections
● Partner with Marketing and Collection Center teams on donor recruitment campaigns
● Display strong administrative skills
Reporting Relationships
This position will report to the Production Scheduling Supervisor and will not have any supervisory duties.
Minimum Qualifications
· Must have a flexible day shift work schedule to accommodate scheduling needs
· Strong sense of urgency and problem-solving skills
· Be outcome-oriented
· Ability to shift focus between tasks
· Work in a fast-paced environment
· Strong attention to detail is essential
· Proficiency in MS Office and ability to learn new software programs quickly
· Knowledge of operating standard office equipment
· Demonstrate critical thinking and troubleshooting skills
· Excellent at verbal and written communication
· A valid driver’s license
Preferred Qualifications
In addition to the Minimum Qualifications, a strong applicant would include:
· Practice with Good Documentation Practices (GDP) and continuous improvement
· Experience with hands on administrative support
· Medical office, hospital or blood bank experience
Hours: Monday-Friday 7am-3:30pm
