JOB DEFINITION:

Work with the CN Guidance Youth ACT Team to deliver services to those individuals and their identified families who are diagnosed with serious emotional disturbance (SED) and whose needs have not been met by more traditional service delivery approaches.

EDUCATION REQUIREMENT:

College or business school graduate preferred.

EXPERIENCE REQUIRED:

1-2 years of business experience. Strong secretarial and administrative skills. Experience working in a mental health setting.

DUTIES AND RESPONSIBILITIES:

  • Manages medical records, operating and coordinating the management information system, maintaining accounting and budget records for recipient and program expenditures.
  • Understands, oversees and reports on all office procedures. Orients new staff on proper office procedures.
  • Performs reception activities (e.g. triaging calls and coordinating communication between program staff and recipients, managing visitors to the building when other staff are not present, maintaining filing system for the department, taking meeting minutes, etc.).
  • Overall responsibility for program administrative duties, including, but not limited to, scheduling and arranging the interview process, clerical and office operations, ordering office supplies, making business cards and scheduling and maintain the maintenance of all department vehicles.
  • Work closely with administrative staff in other departments in the agency for coordination of essential services.
  • Coordinate Quality Improvement and Utilization Review activities including but not limited to data collection, analysis of outcome trends and identification of service provision, which needs improvement.
  • Oversees staff schedules, in-office and outside staff appointments, sign-in/sign-out boards etc.
  • Communicates with external providers to assist with coordination of services.
  • Responsible for ensuring professional customer service experience for anyone that contacts the department.
  • Complete QI training during onboarding and participate in QI refresher training as needed.
  • Actively engage in agency wide trainings and work groups as well as NYS specific trainings on and for the Youth ACT model.
  • Identify and implement quality improvement trainings and activities as part of professional development goals
  • Encourage quality improvement processes and provide consistent resources for QI and professional development
  • Ability to cultivate a culture of inclusion for all employees that respects their individual strengths, views and experiences. A Culture that makes better decisions, drives innovation, and delivers better business results.
  • Other duties and assignments as requested by the Director of ACT Services, Office Manager, and/or Team Leader
