Position Overview:

The Asphalt Estimator/Project Controller at Ensley Inc. will be responsible for accurately estimating project costs, preparing bids, and overseeing project finances to ensure profitability and successful project completion. This role requires a meticulous attention to detail, strong analytical skills, and the ability to effectively communicate with clients, subcontractors, and internal teams. The ideal candidate will have experience in asphalt paving or construction estimating, along with a solid understanding of project management principles.

Key Responsibilities:

1. Estimation and Bidding:

- Conduct site visits to assess project requirements, evaluate existing conditions, and gather necessary information for accurate estimations.

- Analyze project plans, specifications, and other relevant documents to determine materials, labor, and equipment needed for each project.

- Utilize estimating software and tools to prepare detailed cost estimates, including materials, labor, subcontractor costs, overhead, and profit margins.

- Collaborate with sales, operations, and management teams to review bid proposals, negotiate contracts, and secure new business opportunities.

- Update the CRM with status of Bids, Quotes, Jobs.

2. Project Financial Management:

- Develop project budgets and forecasts based on estimated costs and project scope.

- Monitor project financial performance, including revenue, expenses, and profit margins, to ensure projects are delivered within budget and meet financial targets.

- Track project costs, expenses, and change orders throughout the project lifecycle, providing regular updates and analysis to stakeholders.

- Prepare and submit accurate and timely progress billings, invoices, and payment applications to clients, ensuring adherence to contractual terms and payment schedules.

3. Project Coordination and Communication:

- Serve as the primary point of contact for clients, subcontractors, suppliers, and internal project teams regarding project estimates, financial matters, and progress updates.

- Coordinate with project managers, superintendents, and field crews to ensure alignment between project plans, budgets, and execution.

- Facilitate project kickoff meetings, progress meetings, and closeout meetings, documenting key decisions, action items, and follow-up tasks as needed.

- Communicate effectively with clients to address questions, concerns, and change requests in a timely and professional manner, maintaining positive client relationships throughout the project lifecycle.

- Communication with Accounts payable of job completion, invoicing, job costs, and outstanding invoice and incoming revenue.

- Travel to job sites to check in on projects, build relationships with customers and check in on crew.

- Attend Meeting(s) with Management to discuss KPI’s and Smart goals.

4. Quality Assurance and Compliance:

- Ensure compliance with industry standards, regulatory requirements, and company policies and procedures related to project estimation, financial management, and project execution.

- Conduct regular reviews and audits of project documents, contracts, and financial records to identify potential risks, discrepancies, or areas for improvement.

- Implement best practices and continuous improvement initiatives to enhance the efficiency and effectiveness of the project estimation and control processes.

Qualifications:

- Bachelor's degree in Civil Engineering, Construction Management, Business Administration, or related field preferred.

- Minimum of 5 years of experience in asphalt paving, construction estimating, or project management role.

- Strong proficiency in project estimation software, such as HCSS HeavyBid, ProTrace or similar tools.

- Excellent analytical skills with the ability to interpret project plans, specifications, and contract documents.

- Strong communication and interpersonal skills, with the ability to build rapport and collaborate effectively with diverse stakeholders.

- Detail-oriented mindset with a focus on accuracy and quality in all aspects of work.

- Proven ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.

- Knowledge of asphalt paving techniques, materials, and industry standards is a plus.
