Work Hours: 8:00 am to 4:30 pm, Monday through Friday

Pay Rate: $17.00/hr to $24.00/hr depending on experience

Responsibilities:

  • Dispatching Services: Efficiently schedule and dispatch HVAC technicians to various job sites based on customer needs and technician availability. Prioritize and manage service calls to ensure prompt resolution of issues and exceptional customer satisfaction.
  • Customer Support: Provide courteous and professional assistance to customers via phone, email, or in person. Address inquiries, schedule service appointments, and ensure clear communication between customers and technicians.
  • Administrative Tasks: Assist with general office duties, including data entry, filing, maintaining records, processing invoices, and other administrative responsibilities to support the smooth functioning of the office.
  • Inventory Management: Monitor inventory levels and assist in ordering HVAC equipment and supplies as needed to ensure timely completion of service requests.
  • Coordinating with Technicians: Act as a liaison between customers and HVAC technicians to relay job details, updates, and any changes in schedules.
  • Quality Assurance: Follow up with customers after service to ensure their satisfaction and address any further concerns or questions.
  • Adherence to Policies: Maintain a thorough understanding of company policies, procedures, and safety protocols. Uphold and promote a culture of professionalism and adherence to industry standards.

Requirements:

  • Communication Skills: Excellent verbal and written communication skills are essential for effective customer interaction and seamless coordination with the team
  • Organizational Abilities: Strong organizational skills to manage schedules, dispatch services promptly, and handle administrative tasks efficiently
  • Tech-Savvy: Proficiency in using office software, scheduling systems, and Service Titan Experience preferred
  • Customer-Centric: A customer-first attitude with a commitment to ensuring exceptional service experiences
  • Multitasking: Ability to handle multiple tasks simultaneously in a busy office environment
  • Team Player: Work collaboratively with colleagues, technicians, and management to achieve company goals
  • Previous Experience: 2 years of experience in a service dispatch or office assistant role. Experience in construction/trades preferred
