Job Description: Community Engagement and Administrative Assistant at the Dorothy Cotton Institute

About the Dorothy Cotton Institute:

The Dorothy Cotton Institute is an organization that embodies the legacy of Ms. Dorothy Cotton's lifework. Our mission is rooted in the philosophy and practices of nonviolence, reconciliation, restoration, and grassroots leadership development. We aim to provide valuable models for human rights education, practice, and leadership, building upon the principles Ms. Cotton championed throughout her life.

The Dorothy Cotton Institute (DCI) is a project of the Center for Transformative Action at Cornell University. The Center for Transformative Action is, therefore, the employer for this position.

Position Overview:

We are seeking a part-time Community Engagement Administrative Assistant to support the work of the Dorothy Cotton Institute. As an Administrative Assistant, you will play a crucial role in supporting the operations of the organization. Your work in this position will also contribute directly to the successful implementation of DCI’s mission, vision, and values.

Key Responsibilities:

General Administrative Support:

  • Provide administrative assistance to leadership, including managing calendars, scheduling meetings, and taking notes at Steering Committee meetings.
  • Assist with organizing and maintaining files, documents, and databases in both digital and physical formats.
  • Respond to inquiries and requests from internal and external stakeholders promptly and professionally.
  • Update and maintain office equipment.

Communications and Correspondence:

  • Manage incoming and outgoing communications, including email, letters, and phone calls, ensuring timely and accurate responses.
  • Draft and edit reports and other written materials on behalf of the organization.
  • Assist with the development and distribution of organizational materials, such as newsletters, press releases, and promotional materials.

Social Media Development and Management:

  • Develop DCI social media
  • Monitor responses on social media
  • Update and refresh website on an ongoing basis

Database and Record Management:

  • Maintain accurate and up-to-date records of mailing lists, grants, expenditures, donors, and other relevant information in the organization's databases.
  • Generate reports and extract data from the database as required.
  • Assist with data entry and data cleanup tasks to ensure data integrity.

Financial Support:

  • Assist leadership in processing invoices, expense reports, and other financial documents.
  • Assist with planning annual budget.
  • Assist with budget tracking and expense reconciliation.

Qualifications and Skills:

  • High school diploma or equivalent; additional relevant certifications or courses are a plus.
  • Proven experience in an administrative role.
  • Excellent written and verbal communication skills, with exceptional attention to detail.
  • Proficiency in using office productivity software (e.g., Microsoft Office Suite, Google Workspace).
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Ability to be flexible and responsive to changing organizational needs.
  • Demonstrated ability to work both independently and collaboratively.
  • Commitment to the values and mission of the Dorothy Cotton Institute, including nonviolence, reconciliation, restoration, and grassroots leadership development.
  • Knowledge or interest in human rights, social justice, and community organizing is preferred.

Hours and Pay Range

Part-time, 20 hours per week.

Pay is $20 per hour
