Position Summary:

The Pathology Support Specialist is responsible for fostering a welcoming, collaborative culture while serving as the primary layer of support for the day-to-day workflow for our pathologists and sites technical teams. This person will employ impeccable attention to detail to ensure precision and thoroughness while creating and maintaining physician calendars, schedules, and workload assignments. They will ensure a positive end-to-end customer experience for pathologists, patients, clients, and vendors by fulfilling pathologist requests, scheduling/dispatching procedures, distributing materials, and accomplishing a variety of administrative duties including problem-solving tasks. This position may be trained to float to the pathology lab daily and when assistance is needed. It is important that the Pathology Support Specialist abides by HIPAA regulations, and uses appropriate Personal Protective Equipment (PPE), as this position may be exposed to multiple environmental hazards such as formalin, communicable disease, fresh human tissue, etc.

Position Schedule: M-F 8:00am - 5:00pm

Essential Duties:

  • Create and continually modify physician calendars, schedules, workload assignments and related functions
  • Serve as point person for resolving pathologist requests in real time including, but not limited to, faxing, copying, requesting patient histories from outside institutions, contacting physicians, locating materials to complete cases, etc.
  • Answer, triage, and log phone calls including scheduling and dispatching for procedures, report revisions, verbal test add-on requests
  • Manage and distribute all incoming and outgoing materials throughout sites including slides, correspondence, reports, specimens, etc.
  • Resolve issues regarding patient cases including, but not limited to obtaining/clarifying missing and/or inaccurate information, patient demographics, updating information in our systems, ensuring timely case sign out, etc.
  • Coordinate and distribute medical education and proficiency testing for pathologist and organization accreditation needs.
  • Office inventory management and supply replenishment
  • Facilitate the transfer and release of patient tissue
  • Troubleshoot and rectify office equipment and technology issues, coordinate building maintenance/office requests, perform general housekeeping, and collaborate with external vendors
  • Accession specimens accurately and timely with potential to be trained on pathology technician duties
  • Other duties as assigned

Qualifications/Experience:

  • High school diploma
  • Medical terminology, preferred
  • Valid Driver's License, preferred
  • Work experience in customer service, call center operations, patient services or account management preferred

  • Standing for over 2.5 hours at a time
  • Sitting/Computer & telephone use
  • In-Office Attendance required
