Position Summary:

The Development Coordinator is responsible for producing donor acknowledgment letters and for the upkeep of the agency's donor record database. This entails generating gift acknowledgement letters, entering donor information, maintaining data, running reports, and recording & tracking pledges. They will contact donors by telephone, email, through written correspondence and in person, as appropriate. Works closely with the Development team in conducting donor and fundraising activities.

Essential Responsibilities:

  • Generate acknowledgment letters promptly by exporting database records, cleaning data as needed, and mail merging exports into letter templates, ensuring a high attention to detail and accuracy.
  • Facilitate the letter process from start to finish, including preparing, printing, and mailing letters and recording acknowledgement dates in the Blackbaud database for accurate recordkeeping.
  • Maintain the daily operation of the fundraising database, ensuring accuracy and integrity of gift/financial data, constituent biographical data, and reporting capabilities.
  • Respond promptly to donor inquiries.
  • In collaboration with the Development & Database Manager, implement processes and procedures for database use, tracking and reporting.
  • Run weekly and monthly fundraising reports as well as other business management reports.
  • Work alongside the other Development Coordinator to prioritize constituent and data accuracy through gift entry and regular database maintenance.
  • Serve as a backup for monetary coding, gift entry, and other Development & Database department tasks.
  • Alerts the Development team of charitable gifts made by key individuals, donors, volunteers and /or Trustees.
  • Remain continuously educated on the Blackbaud database. Ability to assist/teach others and/or fulfill requests for information from the system.
  • Organize Transforming Lives Tour calendar invites, address tour inquiries, schedule sign-ups, and coordinate setup and walkthroughs before tours. Responsible for recording attendance and communicating tour reminders.
  • Engage the community by attending events to promote and to represent the agency.
  • Provide in-person support for on campus activities, including volunteer check-in.
  • Assist with additional department and agency wide events and initiatives including event coordination.
  • Protect all confidential information, company property and electronic data. Comply with safety rules.

Knowledge, Skills, and Abilities:

  • Ability to prioritize work, work under pressure, and meet daily deadlines.
  • High attention to detail and accuracy
  • Expert proficiency in computers including Database experience and Microsoft Office, especially Excel, Word, and Outlook. 
  • Ability to establish and maintain effective working relationships with agency staff, board members, donors, volunteers, community groups and other related agencies.
  • Excellent interpersonal, verbal, and written communication skills.
  • Outstanding customer service skills; must enjoy speaking on the telephone and in-person with donors.
  • Sound judgment with ability to work autonomously and make decisions.
  • Must be able to maintain strict confidentiality.
  • Experience with non-profit donor database, Blackbaud Raiser’s Edge, preferred.

Qualifications:

  • High school diploma required. Bachelor’s degree from an accredited college or university preferred.
  • Two years of work experience in non-profit agency operations.
  • Two years of database management experience in a fundraising environment, Blackbaud (or similar fundraising database) experience preferred.
  • Flexible schedule to work after hours and weekends, as necessary and/or required.

Physical Requirements

  • Primarily works in a shared office environment but may work throughout the agency and off site.
  • Ability to communicate with donors, volunteers, Board, and co-workers.
  • Ability to operate and use office equipment.
  • Ability to continuously sit and stand. Ability to walk for prolonged periods. Ability to climb stairs as needed.
  • May occasionally lift up to 25 pounds.

This position pays $22.00 per hour.
