ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Weekly Merchandise Disbursements including ACH, Anticipation, and Wire payments. Includes preparation of weekly estimate for treasury, payment audit and review for the creation of hold backs and repayment of hold backs.
• Verify Vendor Holds, RTVs and pending debits.
• Monitor daily workflow, assigning tasks to Merchandise AP clerks as required to avoid backlogs and potential issues. Includes producing the AP rotating schedule, approving invoice change forms and Invoices > 90days old, daily review of excess shipment charge backs and “Unmatched Invoices”, and distribution of RUAs (Receiver Unit Adjustments) and Unmatched Receipt Report. Produces monthly/year-to-date clerk productivity report.
• Monitor weekly anticipation payment process when necessary. Includes research and obtaining merchant approvals. Prepare Weekly Anticipation reports and distribute monthly.
• Daily Retek Merchandise Invoice Import & RMS to Oracle Item, PO and Receipt Interface. Includes balancing Trial Balance, Unmatched Receipts, & Chargeback reports.
• Verify & distribute daily chargebacks and penalty letters to appropriate Merchandise Clerk.
• Verify weekly and MTD reports including but not limited to Purchase & RTV journals to Tran Data and Vendor Income.
• Research issues and/or process repayment requests and price adjustments as necessary.
• Audit and approve reports prepared by Merchandise Clerks including Billing Errors, Excess Shipments and Shipping Penalty reports.
• Maintain Merchandise Supplier Master & ACH Payment Bank Set-ups - assign and create new and/or reactivate vendors per Merchandise Vendor Set up form. Enter changes, additional information, and inactivate suppliers as necessary.
• Reconciliation of dock receipts and QC receipts.
• Maintain, monitor, process, and report on VSCMs (Vendor Special Credit Memos or Mark down allowances).
• End of month responsibilities: AP Closing, manual journal entries, unmatched receipts archive, account reconciliations and produce EOM reports (In-transit, New Store Discount, Old Age, VSCMs, and Merchandise Contact List)

OTHER RESPONSIBILITIES:

• Vendor Correspondence via email, telephone or paper correspondence as necessary.
• Complete Dun and Bradstreet requests.
• Back up for functions performed by Accounts Payable Supervisor/ 2nd AP Coordinator including but not limited to Payment Batch Processing.
• Assist other Accounts Payable Merchandise staff as necessary and fill in during absences.
• Assist with Month-end, Interim, Year-end Closings and Audit Schedules
• Assist with various special projects as requested by Accounts Payable Supervisor or Manager.

QUALIFICATIONS:

EDUCATION:

• 2 year Accounting or Business Degree preferred and/or related accounting experience.

WORK EXPERIENCE:

• 3 to 5 years Accounts Payable experience in a high volume, deadline driven environment required.
• Supervisory experience helpful.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

• Strong data entry, organizational, analytical, and problem solving skills
• Strong verbal and written communication skills
• Courteous, professional telephone manner
• 10 key by touch
• Proficiency in Excel.

• Oracle experience preferred
• RMS (Retek) is a plus
