POSITION SUMMARY:

The Lead Medical Assistant works under the Nurse Manager to assist with efforts to maintain efficient flow and communication maintain and improve quality measures and execute and lead training efforts. Assists provider in the administration of patient care in assigned clinical areas by assisting with patient examinations, procedures, diagnostic studies, treatment, and performs general administrative duties all in accordance with The Joint Commission, CLIA, NCQA and government standards, as well as company policies and procedures.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Under the direct supervision of and in conjunction with the Nurse Manager and the clinical guidance of the providers, and within established policies and procedures, the incumbent performs the following essential functions:

1. Provide back up support and coordinates staffing in conjunction with the nurse manager for the medical assistant team, which includes all functions of a medical assistant/LPN. Provide sick/vacation leave back up for Medical Assistants and LPNs with or without notice, including satellite sites.

2. Train new and existing staff in conjunction with the nurse manager and satellite offices.

3. Lead and sustain efforts for all EMR changes including integration of clinical workflow implementation. Become a Super User for EMR system to help support clinical staff.

4. Act as resource and lead for medication prior authorization procedures. This includes training employees in CovermyMeds and all prior authorization system functionality and providing back up support as needed.

5. Responsible for completing the daily rooming schedules and distributing to all practice staff.

6. Assist with clinical scheduling problem solving, wait time communication and other areas of concern relating to operational workflow.

7. Responsible for daily and monthly compliance of room checks and joint commission related requirements. Report weekly joint commission stats into TJC AMP login in on the CMC Intranet.

8. Responsible for completing/tracking annual competencies for all Medical Assistants and LPNs.

9. In collaboration with the Nurse Manager, assists in interviewing process of Medical Assistants and LPNs, may assist with budget review and preparations.

10. Responsible for the ordering of clinic supplies.

11. Maintain routine Medical Assistants and LPNs documentation audits and provide feedback to nurse manager and Medical Assistants and LPNs for ongoing discussion and input towards annual review.

12. Act as point of contact to receive and direct communication to all Medical Assistants and LPNs from Medical Directors and Lead APP relating to changes and workflow improvements.

13. Provides 1:1 support for Medical Assistants and LPNs regarding skills training, remediation or refresher training.

14. Attend staff meetings or other ad-hoc meetings as requested.

15. Proactively monitors schedule and provides feedback for patient concerns, excessive wait times and needs. Support Medical Assistants and LPNs with rooming and support if applicable.

16. Support and lead compliance of Provider related quality metrics as they relate to patient visit preparation and rooming process by having access to the Provider dashboards.

17. Works with nurse manager, nurses to handle appropriate patent follow up, and callbacks.

18. Assist nurse manager with clinical agenda items and discussion at staff or clinical meetings.

19. Receive and direct problems and concerns as appropriate to applicable coordinator or manager.

20. Reviews charts prior to patients' scheduled appointment to assure that all requested lab work, diagnostic procedures have been completed, and that reports have been returned and are accessible to the provider.

21. Reviews charts for current medications, treatments, height, weight and problem list.

22. Obtains and records patient vital signs, height, weight and reason for visit. Reviews risk assessment questions as appropriate. Updates allergies and medications. Verifies patient pharmacy and preferred lab.

23. Directs patients to examination rooms; assists in preparing patients for examination; assists patients in undressing, dressing and getting on and off the examination table. Notifies provider of patient's arrival and readiness for their examination.

24. Conducts EKG testing, 6-minute walk tests and Covid tests, records results in chart.

25. Performs Point of Care Testing in accordance with the CMC laboratory guidelines. Handles all specimens using Universal Precautions.

26. Completes laboratory forms. Processes laboratory samples and ships to reference labs.

27. Interacts with patients regarding clinical complaints for effective and immediate response and resolution. Refers to Nurse Manager as appropriate.

28. Participates in quality assurance activities and all training seminars (OSHA and others).

29. Interacts and communicates professionally with co-workers.

30. Takes messages and assists provider with return phone calls to patients and pharmacies.

31. Calls in prescriptions with provider approval.

32. Acts as liaison between provider and other departments, agencies and pharmaceutical representatives.

33. Maintains patient confidentiality at all times.

34. Assists with admission of patients to the hospital, as needed.

35. Orders all medical supplies, places service calls for and performs maintenance on all medical equipment.

36. Coordinates information with external laboratory.

37. Maintains quality control for all medications and supplies.

38. Keeps nursing area and exam rooms stocked, clean and orderly.

39. Maintains stock of health information pamphlets; provides pamphlets to patients. Directs patients to proper sources of information.

Ability to accept constructive feedback and initiate appropriate actions to correct situations.

Ability to maintain good communications; ability to establish and maintain positive working relationships with employees, physicians, patients, families and a diversity of individuals at all levels of the organizations and with external customers.

Working knowledge of ICD-10 and CPT coding and insurance procedures.

Requires the ability to utilize and navigate electronic clinical documentation system in order to enter patient data.

Basic computer keyboarding and data entry skills required.

WORK SCHEDULE:

Generally, Monday through Friday, days.

Occasional requirements to work evenings or weekends depending on the schedule of the practice to which the employee is assigned.

Education:

Graduate of an approved Medical Assistant program.

CMA (Certified Medical Assistant), RMA (Registered Medical Assistant) or CCMA (Certified Clinical Medical Assistant).

Experience:

5 years' experience as a Medical Assistant, progressively responsible experience

Prior supervisory or lead experience preferred.

Licensure/Certification:

Basic Life Support (BLS) certification required.

CMA (Certified Medical Assistant), RMA (Registered Medical Assistant) or CCMA (Clinical Certified Medical Assistant) (for CMA's)
