Catholic Charities of the Diocese of Santa Rosa is Hiring a Data Specialist II Near Santa Rosa, CA

 The Data Specialist II is an elevated data position that works within the Data and System Integration team that has increased responsibility and demonstrated competency for working within the client data systems including HMIS, DataLink, Clarity, and similar systems. The Data and Systems Integration team aims to support programs across the agency in building, implementing, and maintaining client data systems, streamlining data collection, building data reports, and training staff around data systems, and confidentiality. The team directly oversees the HMIS and DataLink databases, as well as supporting programs with Smartsheet data workflows, the One Agency Hub, and various funder-required data systems. The Data Specialist II is knowledgeable about program workflows and is focused on ensuring those workflows are streamlined and implemented effectively. The Data Specialist II supports database end-users through user account management, technical assistance, monitoring data quality, supporting programs with implementing data processes and workflows. The Data Specialist II will be responsible for curating training materials, recording training videos, and conducting live one-on-one and group trainings. The Data Specialist II supervises data entry volunteers that support the data team. The position will also support agency reporting and database functionality under the direction of the supervisor.

Essential Functions

  1. Demonstrate knowledge of database functionality, program workflows, and stay up to date with database configuration.
  1. Manage database user accounts to ensure all accounts are tracked, on-boarded and off-boarded following the database procedures.
  1. Support the database help ticket system and provide prompt technical assistance to end-users daily. Communicate with Social Solutions as needed for additional support.
  1. Monitor program data quality using various reports and work directly with program staff and the Data Specialist I to make corrections. Data should be accurate, timely and with minimal errors.
  1. Supervise data entry volunteers to support program needs or data team projects. Support volunteers in their training needs, tracking volunteer hours, and that those volunteers are following all agency policies and procedures around data collection and confidentiality.
  1. Support programs in their implementation of workflows within the database, ensuring that the system is meeting current needs, staff are trained in the workflow, and that data is being entered correctly. Communicate with the data team for system functionality issues or updates that are needed.
  1. Create training materials to meet end-user needs using the identified online platform. Materials may include written instructions, and recorded videos.
  1. Conduct one-on-one and group trainings for the database, including new user orientations, and program-specific trainings.
  1. Support agency reporting as assigned by the supervisor.
  1. Ensure implementation of program policies and procedures around data collection and reporting are in line with best practice standards.
  1. Participate in Professional Development based on performance reviews, and advancement of knowledge and skills in job related areas.
  1. Support the Mission, Vision, and Values of Catholic Charities in the performance of all essential job functions and responsibilities.

Note: Catholic Charities considers this position to be a mandated reporter of child abuse and elder abuse.

  1. Work with Diocese of Santa Rosa and local parishes as appropriate and requested.

Education, Experience & Skills Required

  1. Associate degree and two years’ work experience in a Human Services field; one to two years’ experience in database support or management required.
  1. Prior experience and understanding of the causes of poverty and vulnerability.
  1. Computer literacy required including experience with Microsoft 365 Suite. Intermediate knowledge of Excel for cleaning and analyzing data.
  1. Strong written and verbal communication; organization, conflict resolution and problem-solving skills.
  1. Excellent interpersonal skills, cooperative, friendly, proactive, and helpful attitude with clients and co-workers. Ability to work closely with clients and other employees to ensure a positive and constructive environment within the program or department and throughout the Agency.
  1. Passion and enthusiasm for the mission of Catholic Charities and its clients.
  1. Valid driver license and at least state required minimum of automobile insurance, clear DMV driving record and ability to provide own transportation. Must be willing and able to travel between agency sites.
  1. Must pass DOJ background clearance (fingerprinting) in accordance with the Diocese of Santa Rosa’s policies prior to start of employment.
  1. Bilingual (English/Spanish) preferred, but not required.
