Job Description

POSITION OBJECTIVE

The Office of Medical Education Research and Evaluation serves various educational evaluation initiatives across the School of Medicine. Working under limited supervision the medical education research and evaluation program manager is responsible for the overall management of medical education research and evaluation activities and contributes to program evaluation projects within the school of medicine. The program manager will oversee, process, and manage all supplemental pre- and post-award evaluation services offered by medical education research and evaluation in addition to project management responsibilities for all medical education research and evaluation initiatives including managing and contributing to data collection, analysis, reporting, and stakeholder engagement. This position will oversee medical education research and evaluation’s regular operations and management of several ongoing evaluation projects within the medical school. Additionally, the program manager will support medical education research and evaluation’s efforts to collect and manage evaluation data and report evaluation results to stakeholders.

ESSENTIAL FUNCTIONS

  • Implement and manage strategic plans for medical education research and evaluation initiatives in collaboration with the director. Assist in identifying goals, objectives, priorities, and actions to be accomplished for medical education research and evaluation activities. Identify requirements and develop specifications for evaluation activities. Collaborate with the director of medical education research and evaluation on strategic planning for operations and offerings. Participate in leadership meetings to assess and build areas for collaboration. Identify and address short- and long-term goals. Develop and administer budget and staff requirements for medical education research and evaluation project activities. Track project funding. Provide support for the director’s roles and responsibilities. Provide input and recommendations on strategic direction, program developments and evaluation opportunities. Assess program performance and provide recommended improvement strategies. (10%)
  • Lead and follow through on project activities spanning multiple teams and departments across the medical school. Provide expert guidance on activities associated with project management. Carry out all aspects of project management for a large volume of evaluation projects with attention to detail, equity, and timeliness. Project management approach considers the needs of departmental stakeholders. Utilize project management software and techniques. Responsible for tracking and supporting all medical education research and evaluation initiatives from initiation to close, making sure projects are completely efficiently and satisfactorily. Document evaluation planning including project objectives, goals, and deliverables. Create and manage project timelines, lead team communication, monitor project progress and deadlines, anticipate, and solve project-related challenges, manage medical education research and evaluation administrative needs, and evaluate project performance. Develop plans and channels for gathering, disseminating, and storing project performance information. (30%)
  • Manage, monitor, and update all data collection procedures, including conducting quantitative and qualitative data collection, managing databases and all data collection relevant to medical education research and evaluation initiatives. Perform dashboard reporting. Analyze data to assess evaluation results, identify trends, areas for improvement, etc. Develop standardized reports in tableau for leadership on research output, productivity, key personnel, proposal submissions and more. Conduct analysis of evaluation data by using description and inferential statistics to determine program success and analyze medical education research and evaluation performance and data to identify unit successes, areas for improvement, and gaps. Present findings to school leadership. (20%)
  • Effectively direct activities related to program evaluation and required reporting to relevant stakeholders. This includes establishing document storage, data collection instruments, reporting, and version control procedures. Responsibility for managing communication with varied and large groups of stakeholders to establish priorities, disseminate findings, plan evaluations, and solve problems. Develop content related to the evaluation processes for internal and external-facing stakeholders to be developed. Advises and collaborates with internal and external partners. Coordinate with other departments. (10%)
  • Serve as consultant to principle investigators on pre- and post-award evaluation processes in conjunction with the principle investigator’s department or unit, utilizing expert knowledge. Manage all requests for evaluation consultations, pre, and post-award services, develop and manage a system for processing and tracking requests including tracking effort and continued follow-up on awarded grants (9%)
  • Design, develop, deliver, and evaluate a range of responsive programs and specialized training for all levels of faculty and staff to ensure faculty and staff stay abreast of evaluation requirements. Develop and deliver appropriate content based on funding opportunities and research trends. (9%)

NONESSENTIAL FUNCTIONS

May manage small technical projects or a mid-size technical project, including responsibility for conducting pilot evaluations and targeted evaluation interventions required to provide the medical school with critical insight into educational programs. (5%)

Support grant writing submissions and/or grant funded initiatives by ensuring reporting requirements (e.g., IRB, NIH) are completed appropriately and in a timely manner as needed, needed documentation and dissemination of project findings is communicated to stakeholders, editing of submissions. Develop and disseminate tools to be used by administrators in support of pre- and post-award evaluation. Manage ongoing changes to templates to ensure the most accurate, consistent, and competitive representation of information. (5%)

May lead, guide, and train staff/student employees, interns, and/or volunteers performing related work; may participate in the recruitment of volunteers, as appropriate to the area of operation. (1%)

CONTACTS

Department: Frequent contact with the director of medical education research and evaluation to provide updates on and manage evaluation initiatives. Occasional contact with the dean, vice deans, associate deans, and program directors within the medical school to support the growth and operations of medical education research and evaluation.

University: Occasional contact with department chairs, faculty, sponsored research offices, and Medical Education leadership to conduct project management activities

External: May communicate with stakeholders from funded projects; interaction with external organizations.

Students: May communicate with students regarding program evaluation efforts that require student participation.

SUPERVISORY RESPONSIBILITY

No direct supervisory responsibilities.

QUALIFICATIONS

Experience: 3 to 5 years of experience. Prefer experience in higher education, academic research environment, and/or funded research.

Education: Bachelor’s degree required. Prefer Master’s in higher education administration, business, organizational planning/psychology, education, or similar field.

REQUIRED SKILLS

  • In-depth knowledge of project/program management or equivalent combination of education and experience, required. Strong track records of project management experience required.
  • Demonstrated knowledge of program evaluation and/or academic research processes.
  • Experience with data collection, analysis in reporting.
  • Statistical knowledge.
  • Demonstrated ability to manage timeliness and completion of projects.
  • Ability to meet consistent attendance.
  • Demonstrated ability to work as part of a team to collaborate effectively with stakeholders, including administrators, academic units, faculty, graduate students, and staff and external partners required.
  • Knowledge of Institutional Review Board (IRB) and/or funded research regulatory organizations and funding mechanisms (e.g., NIH) preferred.
  • Demonstrates judgment and initiative in anticipating needs and resolving problems.
  • Proven ability to manage complex calendars, prioritizing activities, and responsibilities.
  • Demonstrates ability to accommodate interruptions, competing deadlines, and changes in priorities.
  • Analytical ability to evaluate and triage correspondence and tasks.
  • Exceptional organizational skills and attention to detail.
  • Working knowledge of Qualtrics, REDCap (Research Electronic Data Capture), or similar web application for building and managing online surveys and databases.
  • Demonstrates expertise in Microsoft Office, Google Suite, and database management. Advanced knowledge of Microsoft Excel.
  • Experience using and or creating project management tools to manage project completion.
  • Advanced writing skills; Experience editing grants, evaluation reports, summaries, recommendations.
  • Ability to interact with colleagues, supervisors, and customers face to face.
