Job Description

POSITION OBJECTIVE

The Admissions Counselor will evaluate applications for admission in accordance with Master of Science in Anesthesia (MSA) admissions policies and make decisions on the admissibility of candidates. They will interpret and explain policies paying special attention to the identification of appropriate exceptions to normal processes and procedures. The counselor will also serve as an admissions advisor for prospective students and is instrumental in the recruitment of students for all master of science in anesthesia campuses. They will respond to questions from prospective students on the phone and via email with friendliness, enthusiasm, patience, and respect. All prospective students should be treated equally, without regard to race, religion, age, sex, color, disability, sexual orientation, or national or ethnic origin.

The program is the second largest graduate program in the school of medicine, with four sites across the country and the potential to launch additional sites. The responsibilities of this position serve all the program locations. The admissions counselor interacts with potential students, health professions advisors, and university officials as a representative of the program. They serve to facilitate collaboration among the four campuses, particularly in the areas of new student onboarding and orientation.

ESSENTIAL FUNCTIONS

  • Make decisions on the admissibility of candidates who apply for admission to the program. Working with a high degree of independence and under limited supervision, the admissions counselor will analyze and interpret college transcripts, matching up coursework with program prerequisites; interpret standardized test scores; assess academic achievement; evaluate quality of personal statement and letters of recommendation; and verify receipt and accuracy of all required materials. They will synthesize this information to predict the likelihood of success in the program. Make judgements and identify special cases that need to be reviewed by admissions leadership. Ensure compliance with master of science in anesthesia admission requirements, and consistency in acceptance of coursework. (40%)
  • Advise and instruct prospective students on program admissions requirements, recommendations to improve application competitiveness, and academic fitness for the program. Meet and counsel students in person, via Zoom platform, over the telephone, and by email. Address all telephone inquiries and emails pertaining to central admissions. Exercise professional judgment when counseling about circumstances that do not fall within documented admissions policies. (25%)
  • Provide a wide range of tasks and assistance with special projects in support of the admissions process. Responsibilities include management of materials and/or support for: applicant interview days; new student matriculation; recruitment and network events; processing admissions offers and acceptances; creation of student roster, class photos, incoming class profile; and cultivation of partnerships with college and university health professions advisors. Provide research and analyze statistical data relating to admissions and competitor programs. Edit admissions web content and student communications. Administer training to staff and student office workers. Represent the program at university meetings. Facilitate presentations and information sessions for special groups. (20%)
  • Manage the onboarding process for incoming students. In collaboration with the network staff team and University Marketing and Communications, select a welcome gift for incoming students that will aid in student retention, and execute the gift plan. Provide students with the necessary credentials and information for setting up their Case Western Reserve University network IDs and email accounts. Work with university health service to provide students with information for securing summer health insurance and interpreting program policy so that students understand insurance coverage requirements. Manage the upload of new student application materials to the school of medicine OnBase system for file retention purposes. (6%)
  • Facilitate collaboration between the program sites, and other school of medicine programs as needed, to consolidate new student orientation activities and materials. Manage the updating and distribution of orientation materials for new students, such as textbook list, drug dosage card, pediatric anesthesia pocket guide, and stethoscopes. Secure and schedule shared orientation speakers and manage the Zoom platform for those presenters. (6%)

CONTACTS

Department: Daily contact with admissions team to review applications for admission and to collaborate on projects. Continuous contact with master of science in anesthesia staff, faculty, and program directors to provide updates. Moderate interactions with school of medicine medical education personnel for information sharing, project collaboration, and in relation to the specific needs of students.

University: Moderate contact with other university entities that support admissions responsibilities: financial aid, registrar, bursar, international student services, university health & counseling services, health sciences library, office of inclusion diversity and equal opportunity, Utech. Occasional contact with university pre-health advisors to share information about the program, with procurement & distribution services to make purchases/process payments, and with the Office of General Counsel to seek legal advice on student issues. Infrequent contact at administrator forums and human resources information sessions. Will represent the master of science in anesthesia program at meetings pertaining to university admissions processes as needed.

External: Continuous interactions with constituents in person and via phone/email - prospective applicants, current applicants, interviewees, health profession advisors across the United States - to promote and provide information about the program. Moderate contact with vendors for the purchase of student materials. Occasional contact with peer institutions, consultants, and outside professional organizations for professional collaboration purposes. Occasional contact with visitors and guests of Case Western Reserve University.

Students: Continuous contact with prospective and incoming students in relation to admissions functions. Infrequent formal interactions with current students; however, frequent informal interactions occur to exchange information. Moderate contact with student office workers that assist with the daily schedule.


SUPERVISORY RESPONSIBILITIES

No staff supervisory responsibility.

QUALIFICATIONS

Experience: 1 to 2 years of professional work experience, preferably in an admissions office or university setting.

Education/Licensing: Bachelor’s degree required.

  • Must demonstrate a customer service orientation and ability to collaborate with students, staff, program leadership, and outside organizations. Must be able to interpret and explain program and university policies to prospective students.
  • Excellent written and oral communication skills; superior organizational, reporting and analysis skills required. Ability to read, comprehend and synthesize quickly.
  • Meticulous attention to detail, accuracy, and follow-through.
  • Strong aptitude to work as part of a team required.
  • Ability to work under pressure and meet deadlines. Individual must be mature, professional, and discreet.
  • Ability to operate with a high level of awareness for protecting sensitive and confidential information.
  • Ability to develop, enhance, and nurture relationships with prospective students while providing consistent, accurate, and usable information.
  • High comfort level with web-based and computer applications, including the use of Google Apps and Microsoft Office (Word, Excel, PowerPoint).
  • Ability to learn software applications specific to admissions and enrollment management, as well as customer service and customer relations management applications.
  • Ability to meet consistent attendance.
  • Ability to interact with colleagues, supervisors, and customers face to face.

WORKING CONDITIONS

General office environment. Occasional evenings and weekends may be required.

Hybrid Eligibility

This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
