MAIN PURPOSEThe Commercial Coordinator will work with all collaborators of the department, especially with the Area Managers. This role will be accountable for giving support to the Commercial Team in different areas from reporting to tool maintenance, legal documents, administrative tasks and projects. This person must be proficient in Excel and Power Point, have very analytical and multitasking skills as well as a service-oriented mind-set.
Key ResponsibilitiesPartners Accounts & Databases
  • MDG & SAP
    • Customer accounts creation and maintenance (all networks)
    • Responsible for keeping accurate database in SAP on all external partners
    • Customer claims creation
  • Contact Database
    • Support the team in optimizing and organizing partners information
    • Responsible for keeping partners information database up-to-date
Expenses & Vendors
  • Selling Expenses
    • Assists with invoices processing and recording for Commercial & Fragrance Departments
    • Responsible for tracking sales expenses and following up on the Sales Expenses budgets
    • Work with finance to ensure accuracy of expenses and support different teams for budget tracking
    • Support Commercial Performance & Operations Sr Manager to populate accounts P&L and reports
  • Vendors
    • Ensure creation of new vendors in the system
    • Process and follow-up on orders
Legal
  • Support the team with all legal documents: Boutiques and POS agreements, addendums as necessary, consignment letters, Espace assignments, termination letters, Grey Market cases, etc.
  • Responsible for validation flow follow-up, scan of contracts, update tracking file
IT Support & Tool Maintenance
  • Give support to the External Boutiques & Watch Specialists in being the link between our stores, IT and the department for Booster
Performance
  • Give support to the team on Commercial reporting and analysis:
    • Reporting
      • End of month results, weekly & monthly estimates, monthly comments, rolling forecasts
      • Creating tools and reportings supporting sales (dashboards)
    • Competitation Analysis
      • Compiles competition commercial activities and datas
    • Market Analysis
      • Organizes and obtains information pertinent to the Latin America & Caribbean market
Administrative Support
  • Process invoices and claims
  • Shipping (Fed-ex, communications to partners, etc.)
  • Printing (Coordination with Copy Express & in-house)
  • Support Commercial VP & team with meetings: monthly meetings, team meeting, partner meetings, market visits (scheduling, agenda, minutes, logistics)
  • Assist VP in communication to partners and internal communication on behalf of the department, as well as support in special celebrations (new comers, holiday greetings, weddings, births, etc.)
  • Support in designing Commercial presentations
  • Support department in the preparation and execution of events/seminars
  • Responsbile for department CRM gifts inventory
Job Profile
  • Bachelor's Degree in Business Admin or Marketing. Master's Degree is a plus
  • Prior experience in business analysis, sales and/or retail or administrative roles
  • Strong IT literacy with advance proficiency in Excel and Power Point
  • Fluency in English and Spanish required. French & Portuguese a plus
  • Analytical skills - comfortable with figures
  • Service and detail oriented
  • Multitasking and time management skills
  • Excellent oral and written communication skills
  • People-oriented and team player
  • Ability to adjust to different style of people, culture, backgrounds, etc.
