General Summary

The Central Purchasing & Safety Administrator will process and maintain all documentation related to the Central Purchasing program as directed by the Purchasing Manager. This role will write requested purchase orders, prepare essential reports and provide administrative and communication support services as directed to ensure effective purchasing informational flow. This role will also assist the Safety Department in administrative duties such as preparing essential reports and filing necessary paperwork and data entry. The role will work under general supervision where routine duties are performed with minimal supervision. Standard practices or procedures allow the employee to proceed alone at routine work. There is occasional check of work while in progress and work is reviewed upon completion. Typical work hours are Monday to Friday, 8:00am to 5:00pm. Occasional overtime may be required in this position. Good judgment and common sense is required in all duties and any other tasks assigned. Minimal overnight travel (up to 10%) may be required. This job description provides an overview of responsibilities and task to be performed. It is not intended to be an all-inclusive job description as needs tend to change over time.

Essential Duties and Responsibilities

  • Compliance with all safety policies, practices, and procedures. Reports all unsafe conditions and actions to a supervisor and/or Manager Safety and Health
  • Maintains a clean and orderly work area and meets other housekeeping needs as required by Sunrock, MSHA 30 CFR 56.20003, and OSHA 29 CFR 1910.22.
  • Prepares acquisition documents
  • Stores Requisitions for items in authorized inventory
  • Prepares Purchase Requisitions/Orders utilizing required software system for authorized purchases
  • Assists in preparing essential documents and record keeping for the Purchasing/Safety Dept. including necessary submissions to State and Federal regulatory agencies.
  • Accurately processes purchase orders in a timely and effective manner based on need by dates and order quantities at the direction of the Purchasing Manager
  • Review vendor order confirmation for accuracy and follow up on any discrepancies
  • Maintains essential records and files.
  • Prepares and distributes accurate and meaningful management control reports and periodic statistical information as required to determine purchasing effectiveness
  • Makes recommendations for system improvement(s)
  • Participates in proactive team efforts to achieve departmental and company goals
  • Assists with Parts Inventory Management
  • Performs some parts inventory cycle counts
  • Performs some parts stocking and some stock picking
  • Helps the Purchasing Manager administer your department's records retention and destruction procedures according to the retention schedule outlined in the Records Management Program Manual.

Knowledge, Skills, and Abilities Required

  • Ability to read and interpret documents, such as safety rules, operating and maintenance instructions, and procedure manuals, in English. Ability to write routine reports and correspondence in English. Ability to speak effectively in English before groups of customers or employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Proficient personal computer skills, including electronic mail, record keeping, routine database activity, word processing, spreadsheets, etc.
  • Ability to handle multiple tasks simultaneously.
  • Ability to interact well with others.

Certificates, Licenses, Registrations

Current North Carolina Driver’s License required

Education and/or Experience

Associate’s degree (A. A.) or equivalent from a two-year college or technical school required; or six (6) months to one (1) year of related experience and/or training required. Other combinations of education and experience may be considered.
