Job Title: Payment Poster

Reports To: Director of Revenue Cycle

PAYMENT POSTER SUMMARY OF FUNCTIONS: Receives documentation and posts payments from bank lockboxes or remittances from payers and patients for services performed by CVAM employees and physicians. Processes and submits both electronic and paper claims for payment.

PAYMENT POSTER ESSENTIAL DUTIES AND RESPONSIBILITIES

• Accurately post all patient and insurance payments to patient accounts as received daily, taking the appropriate contractual adjustments.
• Download electronic remittances from payers and accurately post to patient accounts.
• Export and Import 835 files from the clearinghouse and accurately save to the designated folders.
• Process and submit secondary and tertiary claims.
• Post Office deposits, refunds and NSF checks.
• Process and post credit card payments to patient accounts.
• Recognize and inform Director of Revenue Cycle of underpayments by carriers based on the contractual agreement with each carrier. Route underpaid, pended claims to appropriate Patient Account Representative.
• Balance and close each payment batch.
• Accurately enter and log required batch information into the Month End spreadsheet.
• Post all payment and adjustment transactions by the 5thcalendar day of the following month reporting any discrepancies or errors to the Director of Revenue Cycle prior to the 5thcalendar day.
• Process patient statements two times per week.
• Verify accuracy of Front Office daily deposit and Online bill pay reports. Log to spreadsheet and save to designated folder.
• Assist with patient billing, insurance and statement inquiries as needed.
• Assist with month end balancing and reporting.
• Assist the department with outgoing mail and the routing of incoming mail daily.
• Perform concise and thorough documentation in patient charts.

• Requires adherence to all policies and procedures, including but not limited to standards for safety, attendance, punctuality and personal appearance.
• Must be able to establish and maintain effective working relationships with managers and peers.
• Exposure to Blood Bourne Pathogens (BBP) and Other Potentially Infectious Materials (OPIM) is rare but possible. Vaccinations and training are offered upon hire.
• This position is considered to be safety sensitive.
• Participation in new hire and annual training is a condition of employment.
• Maintains strictest confidentiality.
• Other duties as assigned.

ORGANIZATIONAL RELATIONSHIPS

Reports to the Director of Revenue Cycle and works collaboratively with respective department.

PAYMENT POSTER QUALIFICATIONS

Associate’s degree is preferred. Minimum two years’ experience as a Payment Poster preferably in a specialty field. Good communication skills and the ability to work well with people is essential. Good grooming, courtesy, and the ability to respect patients’ needs are required.

PAYMENT POSTER PHYSICIAL DEMANDS

Ability to communicate orally with patients, physicians, advanced practice providers, nurses, insurance carriers and others is crucial. Regular use of the telephone is important. Standing, walking, or sitting for extended periods is common. Hearing and vision within normal ranges is helpful for normal conversations, to receive ordinary information and to prepare or inspect documents.

Heavy lifting is not expected. Exertion of up to 10 lbs of force occasionally may be required. Good manual dexterity for the use of common office and medical equipment such as computer terminals.

Good reasoning ability is required. Able to apply math skills and other analytics as required. Able to maintain emotional stability to cope with human suffering, emergencies, and other stresses. Able to understand and utilize management reports, medical charts and other documents to conduct business.

PAYMENT POSTER WORK ENVIRONMENT

The job is performed indoors in a traditional medical office. Exposure to potentially dangerous materials and situations that require following extensive safety precautions, as well as loud noises, unpleasant odors and liquids may occur. Protective safety equipment, including appropriate clothing, shoes, gloves, goggles and face mask is required at times. Activities include extended periods of standing, walking, or sitting and extensive work with medical equipment.
