Position Summary: As a member of the Office Team perform the following primary responsibilities; Switchboard -Incoming/Outgoing calls, Greeting Office Visitors, Receiving/Distributing Mail and Customer Invoice/Credit Memo distribution. Secondary responsibilities include but are not limited to; Customer Order Taking, Cash Receipts Posting, Conference room scheduling and general office assistance to Executive Team. Must be dependable and timely.

RESPONSIBILITIES/ DUTIES: (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions)

  • Front Desk/Switchboard Coverage:Greet and direct visitors to the company. Provide customers and business partners with company information; locations, phone and fax numbers, corporate website and other related information.
  • Receive, sort and forward incoming/outgoing mail. Distribute interoffice mail and report distributions. Coordinate the pick-up and delivery of express mail services (US Mail, FedEx, UPS).
  • Answer incoming telephone calls and assist callers with appropriate direction as needed. Screen calls for valid business purposes, transfer calls to associate voice mail, take and retrieve messages as required.
  • Customer Invoice/Credit Memo Processing: Handle Voids and Credit Adjust customer invoices daily. Isolate all voids and credit adjustments upon return of customer invoice. Process voids and credit adjustments as required with Customer Service Team.
  • Distribute Customer Void/Credit Memo Invoices. Following documented procedures complete the mailing of customer void/credit invoices on a timely basis, including interdepartmental routing and filing.
  • Review and organize processed Customer Invoices. Verify receipt of delivery and signature, isolate any required voids/credit adjustments, organize in number order and file folders, document missing invoices.
  • General Office/Customer Service Support:Assist with daily cash reconciliation and write up of cash receipts.
  • Handle Customer Service Incoming calls when necessary, including placement of sales orders.
  • Schedule and monitor Conference room assignments.
  • Monitor when Executives and Office Management personnel are away from the office.
  • Assist with general office tasks; mailers, address labeling, typing documents and/or memos, copying.

Education/Experience:

  • Possession of a High School Diploma or equivalent
  • 1-3 years related experience and/or training; or equivalent combination of education and experience
  • Knowledge of office principles and methods for typing, data entry, filing and general office practices, including experience in the use of Microsoft Office Software, Word and Excel.

  • Ability to effectively and professionally present oneself in one-on-one and over the phone situations to customers, business partners, sales associates, operations and other employees of the organization

  • Relationships with Others: Exhibit a professional manner in dealing with others

Work Environment: This job operates in a professional work environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and postage machine.

Physical demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is regularly required to talk or hear. The employee frequently is required to sit; walk; use hands to finger, handle or feel; reach with hands and arms. The employee is occasionally required to stand; climb or balance; and stoop, kneel, crouch or crawl. This is largely a sedentary role; however, some filing is required, which would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

Attendance and Dependability: This is a full-time position, typical work hours are Monday through Friday, 7:45am – 5:00p.m. – willing to maintain flexible schedule, complete work in a timely and accurate manner willing to stay until the work is complete

Job Type: Full-time

Pay: $16.00 - $18.00 per hour

Expected hours: 40 per week
