Cape Vincent Chamber of Commerce is Hiring an Office Manager Near Cape Vincent, NY

Overview

The Cape Vincent Chamber of Commerce was formed with the goal of forwarding the interests of small businesses in our local area. To that end, it hosts a variety of events and programs throughout the year that bring commerce to the town of Cape Vincent which, in turn, benefits our local businesses. The Office Manager works hand-in-hand with the members of the Chamber Board to execute these events and programs. This position is part-time

Responsibilities

*Answer the telephone, schedule appointments, reserve event spaces and keep accurate records. Initiate and reply to emails, greet and help guests and members that come into the office during working hours
*Assisting the Chamber Board in problem solving, project planning and facilitation of events and programs
*Ensure accurate and timely entry of events on Chamber calendar and schedule invitations
*Manage daily administrative operations, including membership processing, recording and organizing event sponsor and vendor registration into Google Docs and physical folders and filing
*Correspond with members, speakers, sponsors and volunteers regarding chamber events and activity (using the telephone, email, etc.)
*Organize and manage events and programs occurring in conjunction with the Chamber Board of Directors
*Manage and maintain all office supplies and Visitor’s Center materials
*Responsible for mailing all chamber business correspondence, picking up the mail, and making bank deposits
*Monitor and update content on website, Facebook, and other social media and electronic platforms, as applicable
*Assemble and create event invitation and reminders, email communications, and newsletters to Chamber members according to schedule; and manage email contact list.
*Sit on event committees to help take notes
*Assist in the coordination of (supplies, materials, etc.) and attend Chamber events and programs
Formulate and mail thank you letters for sponsors and volunteers of events and programs
*Assist Board with special projects
*Support the Board with tasks that may be assigned that have not been listed as part of this job description
*Support the monthly production and distribution of the community-wide “What’s Happening” newsletter

The interpersonal skills of the Office Manager are of the utmost importance. This person must independently analyze, think critically, and make sound decisions in various situations. Clear, effective, and responsive communication focused on superior customer service for both staff and external audiences.
*Ability to handle politically sensitive situations strategically and diplomatically. Additionally, ability to protect the reputation of the Chamber through integrity and strict confidentiality as needed by maintaining an atmosphere of teamwork both in the office environment and outside when representing the Chamber
*High level of independent and self-motivated initiative and desire to meet specific goals
*Ability to speak comfortably in public. An eagerness to help implement sustainable and effective business practices
*Solution oriented and self-motivated to help carry out the mission of the Chamber with a personable, outgoing and professional demeanor and appearance
*Passion to work as part of a team to expand the impact and services of the Cape Vincent Chamber of Commerce

Basic Requirements

*A high school diploma
Strong organizational and personal initiative skills
*Computer knowledge of Microsoft Office: Excel, Word, Outlook and Google Docs
*Ability to move at a faster pace and adapt to change as necessary
*Working knowledge of local, regional, and state-wide businesses and initiative opportunities

Work Environment and Physical Demands

Work is often performed in an office setting, whether that be home, coffee shop, or at the Chamber Headquarters. The position is typically performed under very comfortable working conditions as the Chamber focuses on creating a great workspace for employees where disagreeable elements are generally absent during normal performance of job.
Occasionally this position takes place in an active work environment through various event locations and visits to local business locations. Occasional travel includes local and regional meetings. The employee must occasionally lift and/or move up to 25 pounds, and infrequently lift and/or move up to 75 pounds. Continuous mental and/or visual attention; the work is either repetitive or diversified requiring visualizing, planning, laying out, or otherwise performing involved and complex tasks.
Manual dexterity and coordination are required to perform the work. This is used while operating equipment such as computer keyboards and telephones. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Position is part time, around 20 hours per week, and often takes place Tuesday-Saturday. Additional hours may be required at times to accomplish organizational needs. Work week and times may be flexible once agreed to by supervisor. 10 paid personal days are offered and are to be taken outside of event/program times (1 week up to and including event/program).

Job Type: Part-time

Pay: $17.00 - $19.00 per hour

Expected hours: 10 – 25 per week
