Monona Grove School District is Hiring a Payroll Specialist Near Madison, WI

Monona Grove School District has an opening for a 1.0 FTE Payroll Specialist. Position begins as soon as possible with a schedule of 8 hours per day Monday through Friday, 260 days per year.
OverviewThe Monona Grove School District is seeking a qualified Payroll Specialist.
Responsibilities
  • Process bi-weekly payroll for exempt and non-exempt staff.
  • Accurately implement, monitor and adjust payroll for new hires, terminations and staff on leave.
  • Process and send direct deposit, tax and retirement payments electronically.
  • Process and enter all new hire information into the human resource information system (HRIS).
  • Import new district staff payroll/contract information and update voluntary payroll deductions, special pays, W4, WT-4, retirement and direct deposit data from the human resource application portal.
  • Administer and ensure legality of all court-ordered disbursements and other required payroll deductions.
  • Comply with all payroll tax requirements, including local, state, and federal regulations and filing local, state and federal payroll tax returns.
  • Process and file W-2s. Work with tax agencies to resolve any outstanding issues.
  • Research and respond to inquiries from district staff on payroll and timesheet issues and take appropriate action to resolve problems identified.
  • Establish and maintain payroll files. Update employee profile changes such as direct deposit, tax changes, etc.
  • Prepare contract adjustments, retro payments and absence without pay reports.
  • Provide business services manager or designee with journal entries for payroll.
  • Determine eligibility, administer, report and process payment to the Wisconsin Retirement System (WRS).
QualificationsExperience and Training:
  • High school diploma or equivalent required.
  • Minimum of two-year associate degree in accounting or related field preferred.
  • Experience processing payroll for a school district or midsize to large company preferred.
  • Intermediate experience with Microsoft Excel, Word and Google.

  • Must be highly organized and be able to work with nominal direct supervision.
  • Must enjoy detail-oriented work requiring a high level of accuracy.
  • Must have excellent written and verbal communication skills.
  • Must be well organized and demonstrate initiative.
  • Must demonstrate the ability to establish and maintain exemplary relationships by using appropriate interpersonal skills.
  • Must understand the need for teamwork, timeliness and accuracy.
  • Must be able to maintain self-control under stressful situations and deadlines without exhibiting negative behaviors.
  • Must be able to maintain confidentiality of sensitive information, and interact with others to accomplish tasks without arousing hostility.
  • Must have knowledge of good grammar, spelling, punctuation and basic math abilities.
  • Ability to maintain a sense of humor and use a positive, caring and supportive approach in working with a variety of people.
  • Ability to work effectively, collaboratively and positively with administration, employees, school board members and the public.
  • Ability to prioritize and implement responsibilities with minimal direction.
  • Ability to exercise good judgment and work independently.
  • Ability to define problems, collect data, establish facts and draw valid conclusions.
  • Ability to statistically manipulate numbers to reconcile and check for accuracy.
