Compensation Range: $58,207- $85,564

Camp Fire Columbia was founded in 1910. Our comprehensive program starts with early intervention at the elementary level, bridges the learning gap for middle school, and helps students thrive and plan for bright futures during high school. During the schoolyear, Camp Fire works in partnership with dozens of schools in the Metro Area. During the summer months, we offer summer camps in the Portland metro area and at our beautiful 552-acre camp, Camp Namanu, bordered by the vibrant Sandy River and presided over by century old trees. Our programs directly serve over 4,000 kids ages 5-18 each year across an eight-county area, including the greater Portland metro region. About the role:

The Assistant Director will oversee project management within the department in collaboration with the Department Director and Multi-Site Manager (MSM) team. The Assistant Director will work in partnership across McMinnville, Portland Public, and West Linn-Wilsonville school districts as well as collaborating across departments internally.

Requirements

Essential Duties & Responsibilities:

  1. This role will come in contact with students, campers, visitors, vendors and employees. Each of these persons may have visible and invisible qualities that makes that person unique. This role requires sustaining an inclusive and equitable learning and working environments by having respectful and considerate behavior, thoughtful and constructive speech to all.
  2. Supports training and development goals with an emphasis on racial equity, social justice, inclusive practices, leadership development, program implementation, and creating culturally responsive, inclusive, antiracist program environments.
  3. Applies knowledge of youth development, licensed child care, and evolving practices in the education field to support ongoing program operations and professional development for staff.
  4. Oversees ongoing project management for the BAS program and ensures alignment with development goals with the team of MSMs and Site Supervisors, in collaboration with Department Director.
  5. Works to improve skills and knowledge of program oversight responsibilities, including yearly planning, budget creation and management, hiring Standard Operation Procedures, Youth Program Quality Assessment and evaluation processes, Department of Early Learning & Care (DELC) compliance, risk management, general operational needs, and staff management/support and training.
  6. Maintains the highest standards and best practices of Camp Fire Columbia by ensuring that the DELC, federal, state, and district ordinances, licenses, and compliance requirements are in place for BAS.

Job Duties:

  • Uses Camp Fire’s Equity Filter to address conflict, create trainings, build programs and teams, engage across difference and during all decision-making processes.
  • Oversees and manages the tracking systems for hiring, staff files, training, Oregon Registry Online documentation, and licensing paperwork.
  • Plays a key role in continued work to create more consistency across Camp Fire programs for training offerings and documentation. Participates as a member of Board Committees.
  • Oversees ongoing communications for social media and program messaging through EMMA and other platforms in collaboration with Communications Manager and BAS Registrars.
  • Participates in district partnership meetings as required and supports program expansion efforts within the greater community.
  • Drives frequently to programs across districts to provide coaching, staff support, and observations.
  • During summer months, assumes primary support responsibilities for Summer Day Camp programs and Fall Training planning and design.
  • Assists the Department Director in developing and implementing after school programs for elementary-aged youth based on best practices in youth development.
  • Supports organization of in-service and break teams.
  • Hires, mentors, and supervises site-based staff in partnership with Department Director.
  • Assists site teams with DELC guidelines and licensing process.
  • Participates as part of BAS team in program evaluations and improvements process.
  • Is a role model for positive youth development practices, youth voice and choice, and youth-adult partnerships.
  • Works with Department Director to develop and maintain relevant school and community partnerships (SUN School, PTA, NET Teams, Enrichment, etc.).
  • Focuses on building strong relationship with principals in assigned cluster schools and will maintain key contact roll in those schools.
  • Attends district meetings and builds relationships with district staff.

Other Duties

  • Provides clear direction and priorities to direct reports and supports them in the development of work-plans achieving success.
  • In accordance with HR policies, conducts frequent informal performance assessment with direct reports, and formal performance assessment annually.
  • Provides and receives formal and informal feedback to better support the goals and vision of Camp Fire Columbia.
  • Ensures availability to key staff for both structured and more informal, as-needed support.
  • Ensures that high expectations and accountability are balanced by fun, compassion, and support.
  • Leads team-building activities to develop and sustain high staff satisfaction and morale.
  • Supports the mission, purpose and leadership of Camp Fire and projects a positive image of Camp Fire.
  • Attends Camp Fire meetings and events, as required.
  • Maintains punctual, regular and predictable attendance.
  • Works collaboratively in a team environment with a spirit of cooperation.
  • Displays excellent communication skills including presentation, persuasion, and negotiation skills required in working with coworkers, volunteers, parents, and contractors; including the ability to communicate effectively and remain calm and courteous under pressure.
  • Respectfully takes direction from supervisor.
  • Other duties as assigned.

Supervisory Responsibilities:

Directly oversees ongoing project management for BAS leadership team, including Multi-Site Managers, Site Supervisors and program staff. Projects will be defined in annual process, and ongoing as necessary. During summer months, will assume primary support responsibilities of summer BAS team, to include: hiring and training development. Will support school year site programs while collaborating with Department Director for BAS team accountability.

Qualifications:

Education and/or Experience:

Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience. Thorough knowledge of DELC regulations and two years of supervisory experience is strongly preferred. Working knowledge of youth development and programming, including best practices in academic enrichment, life and leadership skill development, youth adult partnerships, and mentoring. Knowledge of DELC licensing policies and procedures for managing a licensed child care facility. Previous experience instructing in an after-school program environment that involves solo teaching, outcome-based lesson planning and current best practices in youth development, and behavior management for program participants.

Language Skills:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Computer Skills:

Job requires specialized computer skills. Must be adept at using various applications including database, spreadsheet, report writing, project management, graphics, word processing, presentation creation/editing, communicate by e-mail and use scheduling software. Basic use of registration systems.

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Certificates, Licenses, Registrations:

A valid insurable Driver’s License is required. This position also requires a valid Oregon Food Handler’s card and First Aid & CPR certification and DELC Basic Safety Set Trainings, plus >15 hours of approved professional development per license year. Oregon Central Background Registry; Step 8 or above on the Oregon Step Registry preferred.
