POSITION GOALS
  • Demonstrate and promote a culture of diversity, equity and inclusion.
  • Manages the Colleague Student System Modules and student information system functions that undergird records retention, curriculum management, and registration.
  • Preserves the integrity, accuracy, and privacy of all academic records; efficiently distributes these records in full compliance with applicable policies, laws, and regulations.
  • Maintains knowledge of innovative enrollment management practices in community colleges and higher education, recommends changes to maintain relevance of programs and services to meet student needs. Implements new technologies to improve and automate enrollment functions as needed.
Essential Functions
  • Ability to work directly with people from diverse racial, ethnic and socio economic backgrounds.
  • Responsible for maintaining and leading the application of the Colleague Student Module and Informer reporting software to ensure accuracy and efficiency of the student information system.
  • Coordinates the student registration process to ensure a smooth and orderly operation, accuracy of registration records, calendar, and communications, as well as the preparation of all related official enrollment reports and rosters.
  • Oversees the ongoing security and accurate preparation and issuance of all student records, enrollment verifications, and transcripts according to established procedures. Serve as the certifying authority for official student records.
  • Serves as the custodian of the students' academic records and ensures compliance with Family Educational Rights and Privacy Act (FERPA) and other reporting compliance requirements.
  • Hires, trains, supervises, and evaluates assigned staff.
  • Serves as a liaison between Enrollment Services and Academic Affairs regarding the master schedule, academic calendar development, and room scheduling.
  • Delivers effective academic support services such as, processing of final grades and grade changes, course waivers, maintenance of student and course records and degree audit, verification of student enrollment, certification of graduation, and academic standing.
  • Implements and evaluates all procedures governing the maintenance, security, and disposal of student academic records.
  • Processes graduation petitions and evaluations of student records to ensure that program requirements are completed. Oversees the technical components of the graduation process including correspondence with students and employees, posting of degrees, and diploma distribution.
  • Coordinates data submission to the National Student Clearinghouse (NSC) National Student Loan Data System (NSLDS) in conjunction with Institutional Research and enrollment reporting.
  • Monitors and resolves appeals regarding graduation issues, grade changes, academic probation and suspension, grade point averages, course equivalencies, transfer credit, and credit from foreign colleges.
  • Works seamlessly with the Office of Information Technology to monitor, test, and implement patches, software updates, and system issues on a continuous basis.
  • Works closely with the Dean of Institutional Research and Planning to produce required enrollment reports.
  • Works in conjunction with the College's Communications and Marketing department in the development and maintenance of webpages, webforms, and printed documents as it relates to registration services.
  • Develops and maintains effective collaborative partnerships with other departments and institutions to improve services to students. Serves on campus-wide committees as requested.
  • Comply with all safety, fire, and smoking regulations.
  • Complete all mandatory compliance and safety training as scheduled by Human Resources.
  • Performs additional duties as assigned.
Minimum QualificationsMINIMUM QUALIFICATIONS
  • Bachelor's degree required; Master's degree preferred.
  • A minimum of three (3) years of progressive experience with a demonstrated track record in higher education related to the administration of student records is required, with at least two years of leadership and supervisory experience preferred.
  • The ability to evaluate and interpret student records, analyze data, maintain accurate records, attention to detail, and a strong understanding of college policies.
  • Experience with the Colleague student information system is preferred. Proficiency in database management and strong technical skills are required.
  • Exceptional oral and written communication skills, enabling effective communication with various stakeholders, including faculty, students, administrators, and the public.
  • Proven ability to collaborate effectively with faculty, deans, academic chairs, and program coordinators.
  • Ability to work as a part of a cross-functional team in an innovative environment.
  • Demonstrated ability to work effectively with a diverse population.
  • Strong organizational skills, with the capacity to set priorities, manage multiple tasks and projects, collaborate well with a team, and meet deadlines.
