Description

Position Summary

The Program Assistant for Field Building and Resources (FBAR) at the Camden Coalition will support project teams in coordinating various aspects of project activities, including project management, communications, implementation, coordination across partners and partnering organizations, developing processes, codifying learning, and other support efforts as needed. Programs include an annual conference, regional events, virtual learning opportunities, technical assistance, and training. The ideal candidate will be highly organized, an effective verbal and written communicator and a self-starter who can work effectively as part of multiple projects.

Requirements

ESSENTIAL FUNCTIONS

Provide assistance and support for programs, the annual conference, training, and technical assistance contracts, including but not limited to:

  • Assist the planning and delivery of new and existing projects, contracts, and initiatives.
  • Create and implement project tools, including project plans, timelines, and contract deliverables.
  • Serve as clients’ point of contact for coordinating meetings, logistics, follow-up, and drafting professional, well-written communications.
  • Develop and deliver internal and external presentations.
  • Manage appointments and scheduling of internal and external meetings, including virtual meetings, across several local and remote team members and multiple projects.
  •  Support internal and external meetings and conference calls by creating agendas, taking detailed notes, and assisting in facilitation.
  • Provide technical support to program attendees and Learning Management System users.
  • Assist in the design and improvement of organization- and department-wide operations, processes, workflows and infrastructure.
  • Help organize and prepare for meetings, presentations, conferences, and site visits, including event planning and travel arrangements.
  • Provide coordination and support at site visits and conferences as needed.
  • Assist Coalition staff with other projects, research and administrative assistance as needed.

Support the development of content, including but not limited to:

  • Support the drafting and editing of curriculum, scripts, blogs, briefs, toolkits, and reports.
  • Support design learning experiences appropriate for interdisciplinary complex care team members.
  • Research complex care topics, populations, and best practices.
  • Maintain a central library of all resources that have been created and status of new resources in the development cycle.
  • In collaboration with Subject Matter Experts and the communications department, ensure content messaging is clear, consistent, and accurate.

  • Ability to solve problems and manage internal and external conflict.
  • Ability to accurately type and effectively operate a computer and use a variety of common software programs including Microsoft Office.
  • Ability to follow-up and follow-through with strong attention to detail.
  • Ability to work well and maintain professionalism under occasional times of stress and pressure.
  • Ability to incorporate feedback related to work product, core values, and key competencies.
  • Demonstrates ability to work with other people through a cooperative effort.
  • Demonstrates an interest and willingness to learn new subject areas including health policy, healthcare delivery models, adult education, and coalition building.
  • Strong team-building skills including the ability and desire to lead and be part of a mission-driven staff in a complex, highly collaborative organization.
  • Strong interpersonal skills as demonstrated by compassionate, courteous, cordial, cooperative, and professional interaction with diverse groups of co-workers, external business partners, and the community.
  • Experience in program planning/management, research and writing, adult online learning, or related work preferred. Expertise with Microsoft Suite preferred.
  • Bachelor’s degree preferred

Experience, Education, and Licensure

Experience: 1 years' experience in program planning/management, organizational administration, or related work preferred. Expertise with Microsoft Suite preferred. 

Education: Bachelor's degree preferred

  • Our current work environment is a hybrid in person/remote model with an expected minimum of two days in the Camden, NJ office. 
  • At times the position may be expected to travel within the New Jersey for trainings or meetings with partners.
