Title: Middle School Administrative Assistant

Reports to: Middle School Principal

Work Year: 12 months

Position Focus: The Middle School Administrative Assistant will pursue and support the mission of Cambridge Christian School and partner with the middle school (MS) principal to implement its realization. He/she will coordinate and oversee the communication center, service faculty/staff, parents, and visitors, and perform clerical duties for the Middle School office as directed by the MS Principal.

  • Follow the Matthew 18 principle in dealing with students, parents, staff and administration
  • Lead others to a realization of their worth in Christ and cultivate their growth in Christ-like character
  • Subscribe to and promote the statement of faith
  • All staff are ministers of Christ

Position Parameters:

General:

  • Greet, screen, and service parents and visitors
  • Answer phones, email, faxes and disseminate information/messages
  • Manage communication system to classrooms`
  • Handle mail and faculty mailboxes
  • Make special announcements and daily announcements at the end of each day
  • Coordinate communications between school families and MS office in regard to school happenings and as directed by MS Principal
  • Record and maintain student attendance and tardy records
  • Dispense medications, administer, and record first aid and care for ill or injured children, notifying parents, monitoring accident reports and filing when directed by the school nurse
  • Maintain student sign-in/sign-out sheets
  • Maintain student schedules and locate students on an as needed basis
  • Direct concerns/questions of faculty/staff to the appropriate person on campus
  • Assist Middle School Principal with coordination of weekly newsletter content and distribution
  • Assist MS Principal with projects as directed
  • Seek and participate in workshops and webinars to strengthen skills and professional growth.
  • Attend and assist with MS events.
  • Check MS substitute teachers in/out and issue key for the day
  • Manage all aspects of the daily operations of the MS office

Events/Field Trip Coordinator:

  • Maintain MS event calendar
  • Coordinate volunteers, marketing, communications, all event details, and ticket sales for events as needed along with MS Principal
  • Collaborate with US Administrative Assistant to maintain event budgets and purchasing
  • Coordinate Field Trip requests to include confirmation of date on master calendar, transportation needs, arranging substitutes, coordinate with food service, student permission slips, and any further details as determined by the coordinator and teacher
  • Maintain communication with Fine Arts Coordinator concerning fine arts events
  • Assist with MS J-term planning and coordination

Student Affairs & Academic Performance:

  • Manage the MS Principal’s calendar.
  • Assist the MS Principal in screening and scheduling appointments with parents, faculty/staff, and students.
  • Coordinate the schedule for all formal evaluations in the fall and spring with faculty; pre and post evaluation meetings.
  • Schedule all informal observations into the MS Principals calendar and follow up evaluations for all formal evaluations as needed.
  • Attend and prep for departmental and faculty meetings as needed.
  • Support the MS Principal with all curricular and academic projects and initiatives, including the coordinating and prep for all PD sessions.
  • Assist with all calendars from MS; tracking, reconciling, attend all calendaring meetings, and managing details involved in all MS events.
  • Assist with the coordination and scheduling of afterschool, summer, and J-term programs to assure the attainment of program goals and objectives as set by the MS Principal.
  • Assist in managing and coordinating details for all student programs, clubs, trips, activities, events and both MS Chapel programs, to include the management or collection of monies/funds exchanged as needed.
  • Support the coordination and execution of standardized testing and semester exams.

Public Relations & Admissions:

  • Assist the MS Principal in all communications with the Admissions Office and the processing of student files.
  • Assist the MS Principal within the admissions process to welcome new families and help them to assimilate into the CCS culture. This may include scheduling meetings with new families prior to school and coordinating all communications to ensure a smooth transition into the school year.
  • Assist the MS Principal in creating, revising, and updating all MS forms, communications, and the Parent/Student Handbook as needed.
  • Proofread and manage the distribution of all communications to parents/students/faculty prior to their release.

Professional Development:

  • Coordinate scheduling, prep, and details involved in making reservations for all teacher workshops and conferences.
  • Support the search and hiring process for all MS faculty/staff.
  • Support in maintaining all standards required for accreditation by all accrediting bodies, and throughout the accreditation process serve as a key point of contact for MS.

Operations:

  • Communicate maintenance requests as needed.
  • Assist the MS Principal in monitoring the upkeep and maintenance of the MS campus.

Purchases:

  • Help process teacher and office purchases with US Administrative Assistant
  • Maintain all monetary request forms such as purchase order & check request forms
  • Code transactions with the designated account number


Qualifications:

  • Have excellent people skills, be detailed oriented, have strong organizational, computer, and good verbal and written communication skills.
  • A minimum of 3 years’ work experience in school or related businesses.
  • Certified in CPR and First Aid or committed to obtain within 2 months of employment
  • Be able to work well with adults and students in potentially stressful situations.
  • Maintain appropriate confidentiality using tact in all situations.
  • Be a Christian who is a member of good standing in a Bible-believing church.
