Description
Calvary Chapel Costa Mesa (CCCM) is a Jesus Formed Community on Mission. Community, Formation and Mission are the three main ways that we believe we are to live out our discipleship to Jesus. Through Gospel teaching, training, and resources, God's people are enabled to take their discipleship into their own hands by living out the listening, serving and helping posture of Jesus in our church community.
CCCM will be engaging in the mission of God to reach those who are far from God and his kingdom by engaging in spiritual formation, practicing the way of Jesus through the spiritual disciplines in community and putting the life of Jesus and the community of the spirit on display through non-threatening exposures to the Jesus community. The ministry began with the church located in Costa Mesa, CA and has flourished and expanded into a multifaceted ministry, which includes Christian Schools, a Bible College, a School of Worship, Christian Radio Stations, Christian radio programs, Christian book distribution, and Christian bookstores. We are committed to God's continued work through the ministry at CCCM.
Calvary Chapel Schools was established to meet the educational, social, and spiritual needs of the children of Calvary Chapel of Costa Mesa, pastored by Pastor Brian Brodersen. CCS is a ministry of CCCM, building up Christian leaders in mind, body, and soul through Biblical truth, character development, and strong academic pursuits, enabling students to serve and enjoy Christ and their community.
Position Purpose / Summary
The Administrative Assistantposition serves as assistant to the principal and facilitator of communicating information, problem solving, material acquisition, cash handling, and record keeping. This position requires: Communicating with administration, school principal and staff in a full spectrum of matters, including matters of a confidential nature. Handling daily work pressures, requiring constant concentration to a volume of work which must be completed within a limited period of time. Performing the essential duties and responsibilities in an environment with constant interruptions, while continuing to display the love of Christ and be a minister of the gospel. CCS is staffed by accepting, loving, and caring individuals, giving students the opportunity to grow in wisdom and knowledge in a safe, wholesome, Christ-centered environment. The ideal candidate will have a strong relationship with Jesus Christ. Their relationship with Christ will be an example to the staff, students, and parents.
RESPONSIBILITIES / DUTIES / FUNCTIONS / TASKS

ESSENTIAL FUNCTIONS
Registrar
  • Manages confidential records and inquiries
  • Manages CUM updates, incoming and outgoing requests, digitizing, and filing
Scheduler
  • Creates and manages student choice electives and schedules in the school SIS
  • Assigns and manages student lockers assignments and maintenance
  • Manages and assists teachers to schedule substitutes teachers
Attendance
  • Manages student attendance and tardy records in the school SIS
  • Manages and assists teacher time off requests and substitute teachers timecards
Receptionist
  • Professionally represent the school in interactions with staff, parents, and students
  • Independently answers routine questions and correspondence from parents, staff and students without requiring supervision or help
  • Perform general office duties including answering multi-line phones, greeting the public, typing, filing, sorting, and handling incoming and outgoing mail
  • Assists with the K-8 office bulletin board, reception kiosks, and office window
Admin Assistant
  • Provides administrative support to principles including, but not limited to correspondence to staff, parents, students, and community members
  • Assists with the planning and creation school events as assigned by the Principal

    • Promotion
  • Runs reports as assigned by the Principals.
  • Manages the school and event calendars
  • Assists with Principles schedule
Admissions
  • Helps to onboard and offboard new students and staff
  • Administers and proctors placements tests and make-up finals
Additional Responsibilities
  • Issues, manages, and maintains staff keys
  • Attends work and school meetings regularly
  • Assists with weekly announcements
  • Keeps all student, teacher, and classroom forms updated and stocked
  • Troubleshoots office machinery. coordinating maintenance and supply inventory
  • Occasionally works beyond a standard scheduled work week when workload requires
  • Assists as back up to other school/office staff when they are away from their desks, on break, ill, at an appointment, or at a meeting
REQUIREMENTS / QUALIFICATIONS
Interpersonal Skills:
Works well with others from diverse backgrounds. Focuses on solving conflict; maintains confidentiality; listens to others without interrupting; keeps emotions under control; remains open to the ideas of others, and contributes to the building of a positive team spirit. Demonstrates the ability to successfully work with adolescent students and parents.
Language Skills:
Able to effectively communicate in English verbally and in writing. Able to respond to common inquiries or complaints from students, parents, staff, regulatory agencies, or members of the community. Able to effectively present information to the Principals and school leadership. Able to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Able to write reports and business correspondence.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Able to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Computer Skills:
Proficient in the usage of database software, internet software, e-mail, and word processing software. Able to competently use FACTS and Google Suite applications. Able to type accurately and proficiently. Able to complete a high volume of computer work, using school computer programs to input data with speed and accuracy, including confidential data.
Other Skills and Abilities:
Able to appropriately communicate with members of the church community and others including vendors, law enforcement and other agencies. Able to exercise good judgment and work in an environment with constant interruptions
Education:
Education and/or Experience: High school diploma or General Education Diploma (GED) and three to four years' related experience in typing, general clerical and/or training or equivalent combination of education and experience. Prior experience working in a school setting is strongly preferred.
Certificates, Licenses, Registrations:
Certificates as determined by the school including a valid California Driver License and ability to obtain a valid CPR/First Aid card.
