Caltrol is Hiring a Service Administrator Near Santa Fe, CA

Caltrol is hiring a Service Administrator for our Santa Fe Springs, CA, location.*Please note this position will relocate to our Paramount, CA, office in the summer of 2024*

The Service Administrator provides administrative support to the Repair Coordinator through maintaining ongoing documentation to assist with managing shop repair and assembly operations. Additional duties will include part sourcing, procurement, and tracking. You will also provide support to the facility through administrative tasks.

Hiring Range

The hiring range for this position is $21 - $24 p/hour. This is the pay scale range Caltrol reasonably expects to pay for this position at the time of this posting. The base pay actually offered will take into account internal equity and may vary based on geographic region, skills, qualifications, and experience of the candidate along with the requirements of the position.

What you'll be doing:

  • Create work orders and issue purchase orders (PO's).

  • Create customer orders and enter service lines for repair valves.

  • Source and procure parts.

  • Scans Proof of Delivery (POD), files repair packet, and ensures proper documentation is physically and electronically logged.

  • Work with Shipping and Receiving to manage and track repair parts and generate Bill of Material (BOM).

  • Assist with Shipping and Receiving duties when needed.

  • Answer phones and direct to appropriate department and person.

  • Assist with directing emails to the appropriate department and person.

  • Stock office supplies (paper, printer ink, breakroom supplies, and bathroom supplies).

  • Assist in new valve shop assembly order management, including verifying all parts have been received and notifying the appropriate department and person on any delays.

  • Perform other duties as required.

What we are looking for:

  • Proficiency in Microsoft Office products.
  • Highly organized and a strong attention to detail with high level of accuracy.
  • Verbal and written skills to effectively communicate.
  • Some previous experience with internal order entry and procedures.
  • Experience with industrial and/or mechanical service operations.
  • Experience working with ERP software preferred.

**Expected Hours **

Monday through Friday, 7:00 am to 3:30 pm (40 hours per week). Overtime as needed to meet customer expectations.

Work Environment

Combination of office and shop work environment.

Physical Demands

Physical demands may include prolonged periods of sitting at a desk, working on a computer, and the ability to operate standard office equipment. Ability to stand, walk, crouch, kneel, squat, twist, bend, reach, and push/pull, carry, and lift up to 15 pounds. Potential exposure to chemicals. Proximity to moving mechanical and mobile equipment. Occasional handling of valves that may be dirty to read tag information. PPE required while in shop; includes ear protection for valve “pops.” Caltrol provides all necessary PPE.

Travel

Travel less than 5% and would be for training or corporate events.
