Job Summary

This position will Serve as Division Office Coordinator and Department administrative assistant, responsible for a wide range of administrative duties, fiscal and HR support related to the daily operations of Division of Information Technology (DOIT) and the department of Information Technology Services (ITS). The incumbent provides primary executive and administrative support to the Vice President/CIO, Division of Information Technology.

Key Responsibilities

  • Coordinates fiscal and personnel activities. Provides administrative support to the Administrative Services Manager (ASM) with various responsibilities, including the preparation of financial and personnel documents. Maintains all division and departmental fiscal and personnel documentation.
  • Provides expert executive and administrative support for the Division Office and Vice President/CIO, Division of Information Technology.
  • Contributes to the effectiveness of the Division and Departmental Office.
  • Plan and coordinate departmental meetings and team building events for the Division Office. Plan and coordinate meetings and events for the AVP and VP/CIO as needed.
  • Communicate clearly and effectively, with technical and non-technical individuals within a culturally diverse campus environment. Maintain a professional demeanor. Maintain IT professional standards of anonymity for data that resides on campus servers and computer systems. Maintain confidentiality of all information. Attend and participate in departmental and team meetings. Perform other duties as assigned to meet the needs and objectives of the department and/or division.

Knowledge Skills and Abilities

Microsoft Word-required for correspondence and document creation. MS Excel-required for departmental spreadsheet related to expenditure tracking. Outlook Exchange required for maintaining calendars, scheduling meetings, scheduling interviews, correspondence, and departmental announcements. CMS/PeopleSoft– for data entry of requisition and monthly attendance and student assistant payroll. Ability to use independent judgment to make decisions and interpret and apply a wide range of policies. Ability to organize; plan work and projects including handling multiple priorities.

Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

  • Equivalent to five years of administrative support experience required.
  • 5 years of experience progressively responsible general clerical or technical assignments with at least two years working with senior management or executives preferred.

Physical Summary

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Hiring Range: The hiring range for this position is $3,865 - $5,300 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,865 - $6,336 per month.

Benefits

Excellent benefits through CalPERS (health, vision, dental), tuition fee waiver, generous vacation and sick leave, and 14 paid holidays each year.

Time Base

1.0 time-base, 40 hours per week.
